Marketing Services Specialist
Reporting to the Manager, Advisor Marketing & Communications, the Marketing Services Specialist plays a key role in supporting the Private Client Group (PCG) Marketing team and the financial advisors we serve. This position serves as a first point of contact for inbound marketing questions and requests, helping coordinate and facilitate marketing support across the department.
The Marketing Services Specialist will manage the intake, assignment, tracking, and scheduling of requests for customized advisor and team marketing materials, marketing training, and other projects and deliverables. This role offers exposure to a broad range of marketing functions while working collaboratively with team members across advisor marketing, creative, digital, and communications.
What you are good at:
Communication –Providing excellent verbal and written services to advisors and internal partners, including prompt, accurate, and timely attention to detail.
Client Focus – Demonstrating the ability to build and foster strong relationships with advisors through service. Able to follow up on time sensitive issues with all departments.
Prioritizing: Operate in a fast-paced environment effectively managing competing priorities and responsibilities to meet critical deadlines.
Responsibilities:
Serve as a first point of contact for incoming marketing requests via phone and email, providing responsive and professional service to financial advisors and internal partners.
Coordinate the intake, assignment, scheduling, and tracking of marketing projects and requests.
Route projects and requests to the appropriate internal departments or team members using project management and workflow software.
Collaborate with internal team members to address creative, digital, communications, and consultative marketing requests.
Monitor project timelines and job statuses, proactively identifying outstanding items and coordinating with the Manager, Advisor Marketing & Communications, and other team members as needed.
Help ensure marketing requests and projects move efficiently through established workflows and are completed within expected timelines.
Support additional Marketing & Corporate Communications projects and initiatives that increase visibility, improve effectiveness, and advance the goals of the department.
Qualifications
1–3 years of experience in marketing, communications, financial services, or a related field.
Client service, customer service, project coordination, or help desk experience preferred but not required.
Client-service oriented with a positive, professional demeanor and the ability to manage a high volume of requests and competing priorities.
Excellent communication, organizational, and problem-solving skills.
Strong time-management skills with the ability to meet deadlines, track multiple projects, and follow through on deliverables.
Strong writing, editing, and proofreading skills.
Proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
Experience with Workfront or other project management/workflow software preferred but not required.
Familiarity with marketing and digital platforms such as Salesforce, Constant Contact, Google Business Profile, Google Analytics, or similar tools is a plus.
Self-motivated and comfortable taking initiative while working collaboratively within a team.
Strong interpersonal skills, professionalism, and commitment to delivering a high level of service.
