JOB DESCRIPTION SUMMARY INFORMATION

SUPERVISES: More than 10 people. A supervisor is responsible for direction of associates' workflow, conducting performance appraisals, and has hiring and termination decision-making abilities.

QUALIFICATIONS:

JOB SPECIFIC CORE COMPETENCIES:

  • Monitor expenses at practice.
  • Collaborate with Clinical Manager to evaluate and disseminate LEM information to staff and providers.
  • Collaborate with Clinical Manager to complete annual evaluations appropriately in a timely fashion.
  • Collect and properly input patient PMH, PSH, Medications, and Allergies in EMR.
  • Clean exam/procedure rooms, instruments, and equipment between patient visits.
  • Check patient vital signs (BP, HR, O2, Temp.).
  • Prescription verifications with physician orders

PREREQUISITE SKILLS:

  • Knowledge of medical assisting principles and techniques, occupational health and safety hazards and standards, and health care laws and regulations.
  • Knowledge of supervisory, human resources, and quality-improvement principles and techniques.
  • Knowledge of clinical state-of-the-art advancements and trends in health care.
  • Knowledge of principles of employee development to ensure appropriate training and mentoring of staff.
  • Knowledge of compliant clinical coding and billing, collaborative effort with clinical office manager.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

The following list describes the essential duties of this role. Individuals in this role may not perform all of these duties, or may perform additional, related duties not listed here.

  • Oversees practice operations, ensuring compliance with established regulations and standards including quality assurance, confidentiality, and electronic medical record documentation.
  • Provides direct supervision to clinical and front office staff, ensuring appropriate assessment and treatment of patient health. Serves as key problem-solving resource for staff on patient issues. Studies patient needs/trends and suggests solutions to ongoing patient care problems.
  • Collaborate with Director on development and implementation of practice’s mission, goals, policies, procedures, and work standards.
  • Ensure performance and productivity of all clinical and front office staff are evaluated on a regular basis throughout the year and annually. Advises on appropriate corrective actions and development opportunities.
  • Responsible for ordering all medications and supplies including and staying abreast of changes and billing.
  • Collaborates in review of data on patient outcomes, quality assurance results, budget/goal achievement, and performance/productivity with Director
  • Resolving Clinical Coding and billings issues, follow up with patients, billing department, biller, insurance companies, and coder to ensure billing/coding accuracy
  • Participates in medical practice planning related to clinic and emergency/disaster response system.
  • Attend management meetings as scheduled.
  • Review payroll errors, resolve, manage, and process payroll when Clinical Manager is out of office.
  • Conducts prior authorizations with insurance companies for patient procedures, surgeries, medications, and imaging.
  • Evaluates appeal requirements when prior authorizations get denied.
  • Perform specimen processing.
  • Fulfills patient care responsibilities as assigned that may include checking schedules and organizing patient flow; accompanying patients to exam/procedure room; assisting patients as needed with walking transfers, dressing, collecting specimens, preparing for exam, etc.; collecting patient history; performing screenings per provider guidelines; assisting physicians/nurses with various procedures; charting; relaying instructions to patients/families; answering calls, and providing pertinent information.
  • Fulfills clerical responsibilities as assigned that may include advising business manager of the need to send medical records, receives medical records that have been requested; obtaining lab/X-ray reports, hospital notes, referral information, etc.; completing forms/requisitions as needed; scheduling appointments; verifying patient demographics; managing and updating charts to ensure that information is complete and filed appropriately.
  • Fulfills environmental responsibilities as assigned that may include setting up instruments and equipment per department protocols; cleaning exam/procedure rooms, instruments, and equipment between patient visits to maintain infection control; cleaning sterilizer per scheduled maintenance program and keeping appropriate records; ordering, sorting, storing supplies except for vaccines; and restocking exam/procedure rooms.
  • Fulfills organizational responsibilities as assigned including respecting/promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and/or staff with Director.
  • Fulfills clinical medical assisting responsibilities that within scope of practice as described by nurse practice act, which may include medical/surgical asepsis, sterilization, instrument wrapping and autoclaving; checking vital signs ; physical examination preparations; clinical pharmacology; drug administration through various routes including injections; prescription verifications with physician’s orders; minor surgery assists including surgical tray set-up pre/post-surgical care, applying dressings, and suture removal; biohazard waste disposal and monitoring; therapeutic modalities; instructing patients with assistive devices, body mechanics, and home care; laboratory procedures including Occupational Safety and Health Administration (OSHA) guidelines; quality control methods; CLIA-waived testing; capillary punctures and venipuncture; specimen handling such as urine, throat, vaginal, stool, and sputum; electrocardiography including mounting, emergency triage, and first aid. Medical assistants must adhere to the MA scope of practice in the laboratory.

CERTIFICATION/LICENSE:

  • Licensure with AAMA – Certified Medical Assistant or equivalent (required)
  • BLS/CPR Certified (required)
  • Certified Medical Office Manager (CMOM) - preferred.

ADDITIONAL EDUCATION AND EXPERIENCE REQUIREMENTS: Mandatory Continuing Education: Customer Service, Fire and Safety, Corporate Compliance (including Confidentiality), Infection Control, and education required by regulatory, accreditation bodies, scope of practice, and/or Hancock Regional Hospital.

  • Minimum five years of clinical experience in medical practice setting (required) with two years supervisory-level experience in medical practice setting (preferred).

WORK CONDITIONS

PHYSICAL/MENTAL DEMANDS:

  • 1/4 of workday sitting to perform computer-based tasks including document processing, patient scheduling and billing, and prior authorizations.
  • 7.5 - hour workday Monday through Friday
  • Hearing requirements include but are not limited to hearing and responding to odes, pagers, phones, equipment alarms or patients calling for assistance, ability to auscultate B/P.
  • Vision requirements include but are not limited to close vision, distant vision, peripheral vision, and ability to adjust focus. This may include ability to read thermometers, electronic scales, etc.

EQUIPMENT USED: Computer, Telephone, Fax Machine, Printers/Scanners, Scales, Electronic BP Machine, Pulse Oximeter, Thermometer.

ENVIRONMENTAL CONDITIONS: Clinic Practice Environment with potential exposure to blood and body fluids as well as emergency situations.
