Job Summary

We are seeking a detail-oriented and highly organized Data Entry and Appointment Scheduling contractor to join our team. In this role, you will work within our portal alongside source medical documents (PDFs) displayed on-screen, accurately entering procedure information and scheduling patient procedures. You will need a working understanding of medical terminology and procedures, including how procedures and treatments translate into the products mapped to them in our platform. Your work directly impacts the reliability of our software for our healthcare clients and the patients they serve.

Key Responsibilities

• Review medical information from source PDFs displayed on-screen and accurately enter the corresponding data into our portal.

• Enter correct procedure information and details, including procedure codes, descriptions, durations, and required resources.

• Confirm entered data matches the source document before finalizing each record.

• Schedule patient procedures on the portal calendar, selecting the correct appointment types, times, and provider offices.

• Apply knowledge of medical terminology to interpret procedures and treatments, and understand how they map to the corresponding products in our platform.

• Identify and correct data entry errors promptly and efficiently.

• Maintain strict confidentiality of sensitive medical and patient information in compliance with HIPAA regulations.

• Follow established data entry protocols, procedures, and best practices.

• Communicate effectively with team members regarding data discrepancies or clarification needs.

• Assist with other administrative or data-related tasks as needed.

Required Qualifications

• Full professional fluency in English, written and spoken.

• Proven experience in data entry (minimum 1-2 years preferred).

• Exceptional attention to detail and commitment to accuracy.

• Strong typing skills with high accuracy.

• Familiarity with medical terminology and common medical procedures.

• Proficiency with computers, including data entry software, spreadsheets (e.g., Microsoft Excel, Google Sheets), and word processing.

• Ability to learn new software systems quickly.

• Excellent organizational and time management skills; ability to meet deadlines.

• Understanding of the importance of data confidentiality and privacy (HIPAA awareness).

• Ability to work independently with minimal supervision.

Preferred Qualifications

• Previous experience in a medical or healthcare setting.

• Familiarity with medical coding (e.g., CPT, ICD-10) and procedure scheduling concepts.

• Experience working with Electronic Health Record (EHR/EMR) systems or healthcare scheduling software.

• Associate’s degree or relevant certification (e.g., medical administration, health information technology).

• Experience working within a software development or tech company environment.
