Summary

Coordinates schedules, records, and compliance for medical residents and students, using systems like ERAS and Residency Software to track licensing and training while managing department logistics.

Coordinates the day-to-day activities of the residents, interns, and medical students. Assure that all AOA/ACGME requirements are met.

Essential Job Functions
Coordinates and schedules lectures, orientation, and evaluations for all residents, interns, and medical students.

Maintains records of all financial activities for the Medical Education Department. Generates billing and records reimbursement for all Medical Education. Ensures that all requirements of the AOA/ACGME regulations are met.

Provides clerical support for the Program Director(s) and Regional Practice Administrator. Records and transcribes minutes for the Family Practice Residency Meetings. Creates PowerPoint presentations for the house staff.

Maintains all records and documentation for the residents, intern utilizing the Residency Software System to track and maintain licensing/credentialing, duty hours, schedules and generates reports as needed by the Program Directors(s)

Facilitates Residency Applicant Interviews – Operates ERAS (Electronic Residency Application Service) to assist Program Director(s) with candidate information. Assists applicant with special needs for interview process if necessary.

Process vacation/continuing CME Requests – Record and track vacation/CME Requests. Communicate with Manager of the Practices for Vacation/CME/Call- Offs of Residents & Interns. Process all resident/intern payroll.

Coordinate Residency/Intern Rotations – Distribute, collect and process any credentialing papers for these rotations. Communicate on an ongoing basis with coordinator/chief resident of off-site rotations.

Organizes all lectures, dinners, banquets, and retreats for the Residency and Medical Education Departments.

Manage Medical Student Rotations – Track student documents as required per the specific affiliation agreement. Provide students with information timely with instructions including but not limited to orientation, IT Username/passwords/, specific instructions for reporting to the rotation site and who to report to. Distribute student evaluation of the preceptor/rotation.

Facilitate students such as, shadowing students, APP students and any other students assigned. Assist with the process to promote a positive culture for recruitment and retaining learners in the health system.

Order office supplies and equipment as needed.

Work Collaboratively with Residency/Student Coordinators throughout the Independence Health System.

All other duties as assigned.

Incumbent will be scheduled based on operation need (rotate shifts, standby, on-call, etc.)

Travel may be expected between Independence Health locations.

Required Qualifications/Experience (please add any additional requirements)

  • High School Diploma, GED or higher level of education.
  • 0 to 1 year of experience in Medical Education.
  • Strong leadership ability, good organizational skills, independent and critical thinking skills, sound judgment, and knowledge of legal aspects and liability of nursing practice.
  • Strong ability to communicate complex and/or controversial topics and concepts to a wide and diverse audience.

Preferred Qualifications/Experience

  • Associate’s or Bachelor’s Degree in related area
  • 2 to 4 years’ experience in [Medical Education].
  • Experience in Healthcare setting.

License, Certification & Clearances

  • Act 34-PA Criminal Record Check from the PA State Police system
