How You'll Help Us Make Health Happen
You will be responsible for the day-to-day leadership and management of our Medical Secretaries and Clinic Coordinators, ensuring the delivery of a professional, efficient and patient-focused service.
You will provide visible leadership, guidance and support to the team, driving engagement, performance and service excellence while fostering a positive working environment aligned with our vision, values and strategic objectives. A key part of the role will be ensuring the smooth coordination of clinical and administrative activities across the clinic, supporting both patients and consultants.
In addition to your leadership responsibilities, you will provide high-quality secretarial and administrative support to consultant private practices, ensuring the efficient management of patient journeys and always maintaining exceptional standards of customer service.
What You'll Do
- Lead, motivate and support a team of Medical Secretaries and Clinic Coordinators.
- Oversee the day-to-day operations of the secretarial function, ensuring services run smoothly and efficiently.
- Drive team engagement, performance and service excellence, supporting key patient and employee satisfaction objectives.
- Provide effective supervision, coaching and development opportunities for team members.
- Ensure high standards of administrative support for consultants' private practices.
- Coordinate appointments, correspondence and patient administration, ensuring a seamless patient experience.
- Build strong working relationships with consultants, patients and multidisciplinary teams.
- Support the delivery of organisational goals, values and service standards.
Key Responsibilities Include:
- Prioritising workloads accordingly to ensure work is accurately completed on time. Holding team members to account as and when required.
- To be the main point of contact for and oversee work allocation and performance objectives of medical secretaries.
- To fairly and objectively manage annual leave and sickness cover.
- To make sure that all mandatory training on Bupa Learn is completed in a timely manner.
- To assist with recruitment, new starter training and local induction.
- To ensure all clinic preparation is carried out by the medical secretaries and payment is taken when required
What You'll Bring
- Proven experience leading or managing a Medical Secretary team, ideally within a private healthcare setting.
- Strong relationship management skills with consultants and key stakeholders.
- Ability to coordinate workloads, clinic cover, annual leave, and daily team allocation.
- Good understanding of consultant clinics, patient pathways, referrals, and clinical correspondence.
- Focused on maintaining high service standards and timely completion of letters and documentation.
- Experience improving processes and implementing efficient, consistent ways of working.
- Confident in performance management, setting expectations, and driving accountability.
- Experience using EMR and patient booking systems; Meddbase experience is highly desirable.
- Ability to prioritise effectively in a busy multispecialty environment.
- Hands-on leadership style with a willingness to support operational activities when needed.
- Strong attention to detail, patient experience, and confidentiality.
