MIS Executive
1. Data collection and consolidation
· Collect participant, training, attendance,
assessment, certification and centre-level data from authorised project teams
and partners, as applicable.
· Maintain standard data-collection formats,
master trackers and reporting calendars; follow up proactively on missing or
delayed submissions.
· Consolidate data from field teams, trainers,
centres, LMS/MIS platforms and approved source documents into a single,
controlled reporting view.
2. Data quality and validation
· Check data for completeness, accuracy,
consistency, duplicates and logical errors before inclusion in any report.
· Reconcile reported figures with source records
and system data; maintain an exception log and coordinate closure of identified
gaps.
· Apply approved definitions, naming conventions,
cut-off dates and version controls across all project reports.
3. MIS reporting and dashboards
· Prepare daily, weekly, monthly and ad hoc
reports in the formats and timelines agreed with project leadership and Cisco
stakeholders.
· Track planned versus actual performance,
participant reach, attendance, training completion, assessment outcomes,
certification and other approved indicators.
· Develop clear Excel/Google Sheets dashboards and
presentation-ready summaries that highlight trends, variances, risks and
pending actions.
4. System and database management
· Enter, update and maintain data in approved
project systems, spreadsheets, CRM/LMS tools or portals without creating
parallel uncontrolled records.
· Maintain master data, data dictionaries, folder
structures, file naming, access controls and backups in line with project
protocols.
· Support users in resolving routine data-entry,
template and reporting issues, and escalate system defects through the defined
channel.
5. Documentation, compliance and audit readiness
· Maintain orderly digital records of reports,
attendance evidence, assessment files and other approved supporting documents.
· Provide reconciled data and evidence for
internal reviews, partner reviews, audits and monitoring visits within agreed
timelines.
· Protect personal and project data; share
information only through authorised channels and strictly follow consent,
confidentiality and retention requirements.
6. Coordination and continuous improvement
· Coordinate closely with the Project Manager,
field coordinators, trainers, centre teams, monitoring teams and relevant
support functions.
· Flag reporting delays, unusual trends and
delivery risks early, with a concise explanation and proposed next action.
· Improve templates, controls and reporting
processes to reduce manual errors and turnaround time.
Education and Experience
· Graduate degree in Statistics, Mathematics,
Computer Applications, Information Technology, Commerce, Economics, Management
or a related discipline.
· Typically 2-4 years of experience in MIS, data
management, reporting or project operations; experience in education, skilling,
CSR or development-sector projects is desirable.
· Experience working with dispersed field teams,
training centres or implementation partners will be an advantage.
Technical Skills
· Strong command of Microsoft Excel, including
PivotTables, lookup functions, SUMIFS/COUNTIFS, logical formulas, charts, data
validation and data cleaning.
· Working knowledge of Google Sheets, PowerPoint
and collaborative document tools; Power Query and Power BI/Tableau exposure is
desirable.
· Comfort with online MIS/CRM/LMS platforms, large
datasets and structured file management.
· Ability to convert raw data into concise,
accurate and reader-friendly reports.
