Overview
We are seeking a proactive Office Administrator to join our growing team! The Office Administrator is responsible for managing the day-to-day administrative operations of the construction company’s office. This role provides support to project teams, management, clients, and vendors by ensuring efficient office procedures, accurate recordkeeping, and effective communication. The Office Administrator plays a key role in maintaining organized business operations and supporting construction project administration. This position coordinates administrative functions, streamlines office operations, and fosters a productive and positive work environment.
Key Responsibilities and Duties
- Manage daily office operations, including filing, record keeping, and maintaining organized project documentation.
- Oversee schedule management for project timelines, meetings, and appointments to ensure deadlines are met.
- Support project managers and field staff with administrative and document control needs.
- Provide administrative support to field teams.
- Answer phone(s) promptly and in a professional manner.
- Assist with accounts payable and accounts receivable administration.
- Coordinate subcontractor and vendor documentation, including certificates and contracts.
- Assist with tracking expenses, gathering supporting documents, and coordinating invoices related to projects or events.
- Must be able to work onsite in Carrollton, TX.
- Perform other duties as assigned.
Qualifications
- Education
- High school diploma or equivalent (required).
- Experience
- 3+ years in an administrative (preferred).
- 3+ years working in customer service environment.
- 3+ years of experience with data entry.
- Experience with Quickbooks software (preferred).
- Skills
- Excellent organizational and communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail and analytical thinking skills.
- Experience with Microsoft office suite, specifically Excel.
