Handles daily office tasks for a construction firm: data entry, filing, invoice matching, mail management, and supply tracking using basic office software.
Core Responsibilities
- Data Entry: Enter daily field logs, material quantities, and equipment hours into our tracking system.
- Filing & Scanning: Organize, scan, and maintain digital and physical files for active construction projects, blueprints, and permits.
- Invoice Matching: Collect delivery tickets from field superintendents and match them against incoming vendor invoices to check for accuracy.
- Mail & Reception: Handle incoming phone calls, route emails to project managers, and distribute incoming mail and packages. [1, 2]
- Timecard Collection: Gather weekly timecards from field crews and check them for missing signatures or incorrect information before formatting.
- Office Supply Management: Keep the office or site trailer organized and monitor inventory to order necessary office supplies and safety gear. [1, 2]
Qualifications & Requirements
- Experience: 1+ years of general office clerk or administrative experience. Prior exposure to the construction or trades industry is preferred but not required.
- Skills: Strong typing speed and data entry accuracy. Proficiency with basic office tools (Excel, Word, email, and Adobe PDF scanner operations).
- Attention to Detail: Ability to spot discrepancies between delivery receipts and invoices.
- Reliability: Consistent attendance and a strong work ethic to support a busy field team.
