Office Coordinator
Role: Senior Office & Facilities Coordinator

Reed Business Support is working with an established and growing business to appoint an experienced and motivated Senior Office & Facilities Coordinator to join their team on a full-time basis.
This is an office-based role. We are looking for a proactive individual who can confidently oversee administrative and financial functions while supporting the continued growth and development of the business.
The Role
As a key member of the team, you will play a vital role in ensuring the smooth day-to-day running of the office, supporting operational activities, and managing administration. You will work closely with senior leadership and provide guidance and support to colleagues across the business.
Key Responsibilities
- Oversee and coordinate all office administration activities.
- Plan and schedule engineers for both reactive works and planned preventative maintenance (PPM) programmes.
- Deliver excellent customer service via telephone and email.
- Assist in the development and improvement of company systems, processes, and procedures.
- Manage day-to-day accounting functions and maintain accurate financial records.
- Prepare basic financial reports and management information for senior leadership.
- Administer subcontractor payments under the Construction Industry Scheme (CIS).
- Support budget management and financial forecasting activities.
- Provide administrative and financial support to senior leadership.
- Analyse financial data, identify trends, and make recommendations for improvement.
- Identify opportunities to streamline processes and enhance operational efficiency.
- Support and guide other team members when required.
- Contribute to the overall operational success of a busy and expanding office.
Day-to-Day Duties
- Coordinating office activities and workflow.
- Processing sales and purchase invoices.
- Maintaining accurate financial records.
- Managing administrative tasks and documentation.
- Supporting engineers, customers, and suppliers.
- Ensuring the efficient operation of the office at all times.
About You
The ideal candidate will have previous experience in a similar office management or administration role and will be comfortable working within a fast-paced environment.
Essential Requirements
- Previous experience in a senior administration or office management role.
- Strong organisational, communication, and multitasking skills.
- Excellent attention to detail and problem-solving abilities.
- Experience with bookkeeping, accounting processes, and financial record-keeping.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office and office management systems.
- Experience using Xero accounting software.
- Experience managing CIS subcontractor payments.
- Ability to work independently and take ownership of key responsibilities.
Desirable Qualifications
- Experience within the construction, maintenance, or facilities management sector.
Hours, Salary & Benefits
- Full-time, permanent position.
- Monday to Friday, 8:00am to 5:00pm.
- Salary: £30,000-£35,000 per annum (dependent on experience).
