The Office Coordinator provides comprehensive administrative and operational support to the branch office, working closely with the Office Manager to ensure efficient daily operations. A significant portion of this role is dedicated to MLS listing management and transaction support for sales associates. This position serves as a key resource for agents throughout the listing process while also providing front-desk reception, customer service, and general administrative support.

What You’ll Do

  • Provide administrative support related to MLS and contract processes, including entering, maintaining, and updating listings and documents in MLS and other real estate databases.
  • Serve as a trusted resource for agents, providing day-to-day support and helping keep transactions and office operations running smoothly.
  • Act as a key point of contact for the office by managing front desk activities, incoming calls, visitors, and general office communications.
  • Support the onboarding of new agents by coordinating materials, systems access, and office orientation.
  • Assist with marketing materials, listing presentations, office communications, and agent support initiatives.
  • Partner with Accounting to submit and track billing and expense documentation.
  • Help create a professional and welcoming office environment by maintaining supplies, coordinating meetings and events, and supporting overall office operations.
  • Take on additional projects and responsibilities that contribute to the success of the office and the agents we support.

What We’re Looking For

  • Minimum of one (1) year of customer service experience in a professional office environment required; Texas Real Estate License strongly preferred, or proven relative experience.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint); working knowledge of Adobe Acrobat preferred.
  • Ability to learn new systems quickly and maintain accurate, well-organized digital records.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • A professional, dependable team player with strong problem-solving skills and attention to detail.
