POSITION SUMMARY
Position: Office Manager
Reports To: HR Manager
Department: Human Resources
Location: Easley, South Carolina
Direct Reports: Janitorial/Custodial Team

The Office Manager is responsible for the efficient day-to-day operation of the office and for maintaining a clean, organized, safe, and professional workplace. This position supervises the janitorial team, coordinates onsite vendors and facility services, manages office supplies and resources, and provides administrative support to Human Resources and the Training and Development Specialist.

The Office Manager also coordinates company-branded apparel and promotional merchandise and manages the administrative and logistical requirements associated with trade shows, recruiting events, employee activities, and company events.
The ideal candidate is highly organized, proactive, service-oriented, and capable of managing multiple priorities while exercising sound judgment and maintaining confidentiality.

AREAS OF RESPONSIBILITY
Office and Facility Operations
  • Manage daily office operations and serve as the primary point of contact for office and facility needs.
  • Maintain a clean, organized, safe, and professional workplace.
  • Manage office, breakroom, conference room, and janitorial supplies.
  • Monitor inventory levels and complete purchasing within approved budgets.
  • Coordinate conference rooms, shared spaces, office moves, employee meetings, and company events.
  • Receive and direct visitors, vendors, deliveries, and service providers.
  • Maintain office procedures, schedules, vendor information, service agreements, and administrative records.
  • Identify facility concerns and coordinate timely resolution with the appropriate vendor or department.
  • Monitor exterior areas, including the parking lot and landscaped mulch beds, and coordinate routine trash and litter removal.
  • Review office and facility-related invoices for accuracy and submit them through the appropriate approval process.
Janitorial Team Supervision
  • Supervise and provide daily direction to janitorial and custodial employees.
  • Establish cleaning schedules, assignments, and performance standards for offices, restrooms, breakrooms, conference rooms, common areas, parking lots, and landscaped areas.
  • Monitor employee attendance, performance, productivity, and quality of work.
  • Conduct routine inspections and promptly address cleanliness, safety, or maintenance concerns.
  • Ensure employees have the supplies, equipment, and training necessary to perform their responsibilities safely and effectively.
  • Partner with the HR Manager on staffing, performance management, employee relations, and corrective action.
  • Ensure compliance with company safety procedures and applicable chemical-handling requirements.
Vendor Management
  • Coordinate onsite vendors, contractors, maintenance providers, and service technicians.
  • Schedule vendor visits and communicate site access, safety, security, and operational requirements.
  • Manage services such as pest control, waste removal, shredding, office equipment, food service, landscaping, and general facility maintenance.
  • Obtain and compare quotes and assist with vendor selection, service agreements, and renewals.
  • Maintain vendor contact information, insurance documentation, contracts, and service records.
  • Monitor vendor performance and follow up on incomplete or unsatisfactory work.
  • Coordinate vendor activities to minimize disruption to employees and operations.
Branded Merchandise, Trade Shows, and Events
  • Coordinate company-branded apparel, including employee shirts, uniforms, event apparel, and other branded merchandise.
  • Maintain apparel inventories, sizing records, distribution lists, and reorder levels.
  • Coordinate with approved vendors on product selection, artwork, proofs, quantities, pricing, production schedules, and delivery.
  • Manage promotional products, recruiting materials, employee gifts, event supplies, and other company-branded items.
  • Track merchandise and event expenses to ensure purchases remain within approved budgets.
  • Coordinate trade-show registrations, schedules, booth assignments, displays, signage, promotional items, shipping, and return logistics.
  • Assist with travel arrangements, lodging, registrations, schedules, and materials for trade-show participants.
  • Maintain a calendar of trade shows, recruiting events, community events, employee activities, and company functions.
  • Coordinate with Sales, Human Resources, and other departments to ensure event requirements are completed on time.
  • Maintain an organized inventory of displays, banners, marketing materials, promotional products, and event equipment.
  • Support grand openings, job fairs, employee celebrations, recognition activities, and community outreach events.
Human Resources and Training Support
  • Provide administrative support to the HR Manager and Training and Development Specialist.
  • Manage employee communication boards and ensure announcements, policies, safety information, and employee resources are current, organized, and professionally displayed.
  • Maintain required federal, state, local, labor, wage-and-hour, OSHA, workers’ compensation, unemployment, and other compliance posters under the direction of the HR Manager.
  • Conduct routine audits of employee communication boards and replace outdated, damaged, or missing materials.
  • Coordinate with Human Resources before posting or removing employee communications.
  • Assist with new-hire preparation, onboarding schedules, orientation materials, badges, apparel, supplies, and workspace readiness.
  • Coordinate interviews, reserve meeting spaces, greet candidates, and prepare interview materials.
  • Support employee meetings, recognition programs, engagement activities, benefits meetings, and company events.
  • Schedule training sessions and coordinate rooms, equipment, materials, communications, and refreshments.
  • Prepare training rosters, handouts, evaluations, attendance records, and certificates.
  • Coordinate with employees, supervisors, instructors, and outside training vendors.
  • Maintain organized and confidential HR and training records.
  • Assist with reports, data entry, document preparation, filing, and other administrative duties as assigned.

  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
  • Ability to learn HR, purchasing, scheduling, facility-management, and event-registration systems.
EDUCATION AND EXPERIENCE
  • High school diploma or equivalent required.
  • Associate’s or bachelor’s degree in business administration, human resources, office administration, marketing, or a related field preferred.
  • Three or more years of office management, facilities coordination, event coordination, administrative support, or related experience preferred.
  • Previous supervisory and vendor-management experience preferred.
  • Experience coordinating branded merchandise, trade shows, company events, or promotional materials preferred.
  • Experience supporting Human Resources, onboarding, or employee training is a plus.
  • Experience in a manufacturing or industrial environment is preferred.
PHYSICAL AND WORK REQUIREMENTS
  • Ability to work onsite during regular business hours and occasionally adjust the schedule to support vendors, meetings, trade shows, company events, or urgent facility needs.
  • Ability to travel occasionally for trade shows, company events, or other business requirements.
  • Ability to move regularly throughout office, manufacturing, parking, and landscaped areas.
  • Ability to sit, stand, walk, bend, and reach as required.
  • Ability to lift and carry supplies, displays, apparel, or event materials weighing up to 25 pounds.
  • Ability to work in an office located within or adjacent to an active manufacturing facility.
