Office Manager & Executive Assistant

We are looking for an energetic and highly organized Office Manager & Executive Assistant to join our Warsaw team (~30 people). In this role, you will combine efficient administrative support for the Management Board with managing our modern office space. Most importantly, you will be the heart of our office building a positive work environment, driving team integration, and taking care of our everyday office culture. This is an on-site role.

Scope of duties:

  • Management Board Support: Providing administrative support, calendar management, and organizing international/local business travel itineraries.

  • Day-to-Day Office Operations: Ensuring smooth daily office execution, managing reception/visitors, new employee onboarding, external vendors, landlords, and building service providers.

  • Team Integration & Office Culture: Initiating and organizing internal events, teambuilding activities, celebrations, and everyday initiatives that build a positive atmosphere and strong team spirit.

  • Supplies & Facility Maintenance: Maintaining office supplies, equipment, and stock to ensure a comfortable, fully functional work environment.

  • Budget & Financial Admin: Managing office expenses, budget allocation, vendor invoicing, and reconciling expense reports.

  • Experience: Min. 2 years of experience in office management, executive assistant, or HR/event coordination roles.

  • People & Culture Skills: Excellent interpersonal skills, high empathy, high energy, and a natural ability to connect people and build a positive work vibe.

  • Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams).

  • Languages: Fluency in both Polish and English (C1 level minimum, daily use).

  • Mindset: Proactive, self-driven, detail-oriented, with outstanding time-management skills and a "can-do" attitude.
