We have an interesting career opportunity for an Office Manager in a leading Ukrainian renewable energy company with a head office in Kyiv.

With the primary focus on providing dependable clean energy from sustainable renewable sources, our Partner's team operates from the offices in Kyiv, London and Odesa, and its expertise spans the management of solar and wind power plants, as well as development and construction of renewable energy projects, in addition to the robust commercial sales of renewable energy on the electricity market. Currently, the Company's total capacity of solar and wind projects in its ownership and operation is 636 MW, and the Company is actively expanding its presence in the Ukrainian market. Committed to supporting a "green" rebuilding, our Partner actively develops over 200 MW of wind & storage projects and aims to expand to other renewable energy technologies. As strong advocates for a low-carbon and sustainable future, the company strives to make a lasting positive impact on the environment and communities.

To support the Company's active growth, we are looking for a highly organized Office Manager in Kyiv to coordinate the day-to-day operations of the office and ensure its smooth and efficient functioning. You will handle general administrative workflows, manage primary documentation in BAS ERP, and provide essential organizational support to the team.

Main Responsibilities:

  • Organize and coordinate the day-to-day operations of the office to ensure its smooth and efficient functioning;
  • Handle general administrative and office management tasks;
  • Work with BAS ERP: enter, update, maintain, and verify information in the system; рrepare and process primary documentation in BAS ERP: сreate and process requests, orders, invoices, and other administrative documents in the system;
  • Cooperate with the accounting team on documentation, payments, purchases, and other administrative matters;
  • Organize the purchase of office supplies, stationery, household items, coffee, water, and other necessary goods;
  • Communicate with suppliers, place orders, monitor deliveries, and ensure proper documentation;
  • Maintain internal registers, administrative records, and reports;
  • Coordinate courier services, postal correspondence, and document delivery;
  • Business trips supervising: booking accommodation, transfers, tickets;
  • Visa and similar process coordination and support;
  • Team events and internal meetings: organization, coordination;
  • Welcome visitors and coordinate meetings and other administrative arrangements for employees and guests;
  • Maintain records of office equipment, assets, and consumables;
  • Communicate with contractors and service providers regarding office maintenance and related services;
  • Provide general administrative support to the team and handle ad hoc organizational tasks as required.

Qualifications and professional experience:

  • Previous experience as an Office Manager, Administrator, Assistant, or in a similar administrative role;
  • Experience working with BAS ERP would be a plus;
  • Good command of MS Office / Google Workspace;
  • Positive attitude, good communication and interpersonal skills;
  • Strong organizational skills, attention to detail, and a responsible approach to work;
  • Ability to manage multiple tasks and work with a significant amount of information and documentation;
  • Ability to communicate and collaborate effectively with colleagues, suppliers, contractors, and service providers;
  • English – written communication: ability to work with English-language materials and reporting – would be a plus.
