About the RoleThe Office Manager is responsible for ensuring the efficient and smooth daily functioning of Orien Trade's office operations while supporting employees, guests, and leadership. The role focuses on creating a structured, welcoming, and high-performing work environment that enables employees to perform at their best and supports the company's growth objectives. |
- Oversee the smooth day-to-day running of the office and maintain a well-organized, professional workplace
- Manage office supplies, equipment, access tools, shared areas, office plants, and general administrative processes
- Coordinate external vendors and service providers, including cleaning, maintenance, utilities, and workplace services
- Arrange domestic and international business travel, including flights, accommodation, transport, and related logistics
- Process office-related invoices, monitor expenses, and support budgeting and procurement activities
- Act as the main point of contact for employees, visitors, and office-related questions
- Coordinate onboarding logistics with HR, including workstations, equipment, access, and welcome materials
- Plan and organize internal events, employee activities, meetings, celebrations, and company gatherings
- Support internal communication by sharing office updates, policies, event information, and workplace announcements
- Drive workplace wellbeing and employee-experience initiatives, gathering feedback and implementing practical improvements
- Previous experience in office management, administration, employee experience, workplace coordination, or similar role
- Bachelor's degree in business administration, communications, human resources, hospitality, or related field is beneficial
- Strong organizational and planning skills with the ability to manage multiple priorities simultaneously
- Excellent communication and interpersonal skills
- Strong attention to detail and ability to work independently
- Experience coordinating vendors, events, and workplace-related projects
- Ability to maintain confidentiality and handle sensitive information professionally
- Proficiency in Microsoft Office and digital collaboration tools
- Fluent in Estonian and English (minimum C1 level); additional languages beneficial
- Highly organized and proactive with strong ownership of responsibilities
