Position Summary
Navigator is seeking a highly experienced, proactive Office Manager to support the Portfolio Acquisition Executive (PAE) Headquarters. This critical role coordinates and manages day-to-day business operations, implements office management efficiencies, and provides robust Executive Assistant support to multiple Portfolio Acquisition Executive Deputies while facilitating seamless coordination across the entire PAE leadership team. Additionally, the selected candidate will perform limited, high-impact Chief of Staff (CoS) functions-specifically serving as the primary quality control gatekeeper for critical communication packets.
Duties and Responsibilities:
Office Management & Operations
- Oversee daily HQ operations, optimize administrative workflows, and direct office support structures.
- Act as the principal point of contact for office administrative operations, personnel transitions (in/out-processing), and facilities coordination.
- Implement strategies to improve team communication, business rhythm efficiency, and resource utilization.
- Maintain accurate and organized records of executive meetings, schedules, and administrative documentation.
Limited CoS Packet Review
- Conduct comprehensive quality control reviews on Senior Leader Approval Route Packets prior to final submission.
- Evaluate all incoming and outgoing staff action packets for appropriate formatting, clear content, administrative accuracy, and compliance with leadership standards.
Expanded EA Portfolio Support
- Deliver dedicated executive-level administrative support to multiple Portfolio Acquisition Executive Deputies.
- Synchronize schedules, cross-coordinate priorities, and facilitate integration across the entire PAE leadership footprint.
- Manage complex, high-visibility calendars, resolve schedule conflicts proactively, and plan both virtual and in-person leadership forums.
Task & Travel Tracking
- Oversee and manage taskings, tracking, and coordination using the Enterprise Task Management System Solution (ETMS2).
- Act as the lead Defense Travel System (DTS) travel arranger, coordinating authorizations, travel logistics, and expense voucher reconciliation.
Protocol & Engagement
- Assist in planning and executing high-level visits from Congressional staff, Presidential Appointees, General Officers, Senior Executive Service (SES) members, and foreign dignitaries.
- Ensure adherence to proper military and government protocol standards during all ceremonies and official engagements.
Required Qualifications:
Education:
- Minimum Requirement: Bachelor's degree in business administration, Management, or a related field.
- Preferred: Master's degree in business administration (MBA), Management, or a related field.
Experience:
- 15+ years of progressive experience supporting military, federal civil service, or defense contractor leadership.
Systems Expertise:
- Must be experienced with the Enterprise Task Management System Solution (ETMS2) for tracking taskers.
- Proficient in the Defense Travel System (DTS).
- Expert-level mastery of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
Core Competencies:
- Exceptional communication (written and oral), administrative editing, conflict resolution, and the ability to work independently under tight deadlines.
