Simply Orthodontics is seeking an experienced Office Manager to oversee the daily operations of our patient-focused orthodontic practice while playing an active role in new patient consultations and treatment coordination. You’ll be joining an experienced team in a well-established practice with strong systems and operational support already in place all while enjoying a 4-day work week!

This is a hands-on leadership role that combines practice management with patient-facing treatment coordination. You’ll work closely with the Orthodontist, clinical team, and leadership to support schedule efficiency, team performance, treatment starts, case acceptance, patient experience, and overall practice performance.

Because this role is directly involved in presenting treatment and financial options to patients and families, prior sales experience is required. Candidates with experience in dental or orthodontic treatment coordination, jewelry sales, wireless/mobile sales, or other environments involving high-value products or services are strongly encouraged to apply. We’re looking for someone who is comfortable discussing larger financial decisions, building trust with patients, and helping families confidently move forward with treatment.

Schedule: Monday - Thursday 7:45 am - 5 pm

Responsibilities:

  • Oversee day-to-day operations of the orthodontic office to ensure an organized, efficient, and patient-centered environment
  • Lead and support front office, treatment coordination, and administrative team members while fostering a positive, collaborative, and high-performing team culture
  • Manage and optimize the orthodontic schedule to support efficient patient flow, provider productivity, and a seamless patient experience across consultations, adjustment appointments, emergencies, and retention visits
  • Take an active role in new patient consultations, creating a warm first impression and guiding patients and families through the orthodontic consultation experience
  • Present recommended treatment plans and confidently explain financial arrangements, insurance benefits, payment options, and next steps in a clear, patient-friendly manner
  • Build trust with patients and families, answer questions, address potential barriers to treatment, and support strong case acceptance and treatment start goals
  • Follow up with patients who are considering treatment and maintain consistent communication throughout the decision-making process
  • Coordinate treatment starts and ensure required paperwork, consents, insurance information, and financial arrangements are completed accurately
  • Partner closely with the Orthodontist and clinical team to ensure a seamless transition from consultation to treatment
  • Oversee insurance verification, billing processes, and patient financial communication to ensure accuracy, transparency, and a positive patient experience
  • Run and review key practice reports to monitor scheduling efficiency, production, collections, treatment starts, case acceptance, and overall office performance
  • Review and confirm employee timecards, hours worked, and PTO to ensure accurate payroll submission
  • Coach and support team performance, helping maintain accountability, consistency, and exceptional customer service standards throughout the office
  • Collaborate closely with the Orthodontist and leadership team to support office goals, patient satisfaction, and overall practice growth
  • Participate in weekly and monthly meetings to review KPIs, identify operational opportunities, and stay aligned on practice goals
  • Maintain accurate patient documentation and ensure compliance with HIPAA and practice standards
