Compensation: $115,000–$127,000
CASE Management Consulting, LLC is seeking an experienced Office Manager/Staff Officer to support the National Geospatial-Intelligence Agency West (NGA-W) and the National Geospatial-Intelligence Operations Center (NGOC). This position provides senior-level operational, administrative, records management, scheduling, and project coordination support in a fast-paced mission environment.
The ideal candidate is a highly organized, adaptable professional who can manage competing priorities, collaborate effectively with government leadership and stakeholders, and deliver accurate, timely, and mission-focused support.
Your Impactful Duties:
- Lead and optimize daily office operations, including seamless onboarding and off-boarding activities, while identifying and implementing improvements that increase efficiency and support client requirements.
- Monitor continuity-related project management initiatives in collaboration with branch and team leadership, including project planning, timeline management, metrics reporting, stakeholder coordination, and quality oversight.
- Develop the NWM file plan and manage its records management program in accordance with applicable policies and directives. Submit the completed file plan to the NGOC Records Management representative for final approval.
- Support division leadership with project management and administrative activities, including plan reviews, meeting and project facilitation, metrics reporting, meeting minutes, NCERTS task tracking, meeting coordination, scheduling, and plan updates and edits.
- Manage and coordinate complex schedules, including senior-level meetings, visit requests, and virtual collaboration sessions.
- Schedule and coordinate team meetings using VTC Scheduler and other approved collaboration tools.
- Apply broad knowledge of program and business administration practices to provide training and guidance, coordinate program information requests, and prepare and distribute reports, staff packages, briefings, and other mission-support documents.
- Maintain the accuracy and currency of administrative products, including branch badge buddies.
- Assist with developing internal NCERTS staff packages for submission through the NCERTS system.
- Develop, review, and distribute taskings and reporting requirements to government leads, including weekly signature reports, monthly signature rollups, and the ongoing tasking dashboard.
- Track actions, deadlines, and deliverables; identify potential risks or delays; and coordinate with stakeholders to support timely completion.
- Maintain accurate records, meeting documentation, tasking updates, and other administrative and project materials in accordance with established requirements.
Requirements:
- Active TS/SCI clearance or active TS clearance with the ability to obtain a CI Polygraph.
- At least seven (7) years of demonstrated experience in high-level, fast-paced organizational, administrative, project coordination, or time-management roles.
- Proven ability to manage multiple complex projects, schedules, and office operations concurrently.
- Strong leadership and interpersonal skills, with the ability to build and maintain effective working relationships across all organizational levels.
- Demonstrated adaptability and resilience in dynamic environments, including the ability to manage shifting priorities, navigate ambiguity, and maintain focus on key objectives.
- Strong written and verbal communication skills, including the ability to draft executive-level reports and briefings, document meeting outcomes, facilitate meetings, and present complex information clearly.
- Excellent organization, attention to detail, critical-thinking, and follow-through skills.
- Ability to obtain and maintain all required government credentials and meet applicable security and suitability requirements.
Desired Qualifications:
- Demonstrated proficiency with standard business applications used for presentations, word processing, spreadsheets, scheduling, and collaboration.
- Experience developing or maintaining SharePoint-based sites, libraries, lists, or administrative content.
- Experience using NCERTS for task tracking, staff packages, reporting, or related workflows.
- Records management experience, including file plan development and policy compliance.
- Experience supporting continuity, operations center, or mission-critical government activities.
- FEMA Level 1 certification or the ability to obtain it within six (6) months of hire.
Compensation
The anticipated annual salary range for this position is $115,000–$127,000. Final compensation will be determined based on experience, qualifications, education, clearance level, job-related knowledge and skills, customer requirements, and other applicable business factors.
