We are looking for an experienced, highly responsible and hands-on Operations Manager who can take ownership of the company’s daily operations from office administration and HR to warehouse, logistics, transportation, drivers, delivery, DO, billing and daily reporting.
This is not a routine 9-to-6 administrative position. The successful candidate must be able to work independently, manage multiple operational matters at the same time, handle unexpected problems and ensure that every task is properly followed through to completion.
You will work closely with the business owner and will be expected to take ownership, make decisions, coordinate people and solve problems without waiting to be told what to do at every step.
KEY RESPONSIBILITIES
1. Office Administration & HR
- Manage day-to-day office administration and HR-related matters.
- Handle employee onboarding, offboarding, attendance, leave and employee records.
- Coordinate recruitment, interviews and manpower arrangements.
- Follow up on staff performance, conduct, attendance and workplace issues.
- Ensure company policies, procedures and administrative requirements are followed.
- Maintain accurate HR and administrative records and documentation.
- Handle confidential employee and company information professionally.
- Manage urgent and ad-hoc administrative and HR matters when required.
2. Warehouse Operations
- Oversee daily warehouse operations and manpower coordination.
- Manage the complete flow of incoming and outgoing goods.
- Coordinate receiving, checking, sorting, storage, packing and dispatch.
- Ensure goods are properly accounted for and prepared for delivery.
- Monitor stock movement and investigate discrepancies.
- Handle urgent warehouse issues, missing goods, damaged goods and operational disruptions.
- Ensure warehouse operations remain organised and efficient.
3. Logistics & Transportation
- Take full responsibility for daily transportation and logistics arrangements.
- Coordinate collections, deliveries, transfers and shipments.
- Plan and monitor transportation schedules.
- Coordinate closely with drivers and warehouse personnel.
- Handle delays, vehicle issues, last-minute changes and unexpected transportation problems.
- Follow up on transportation matters until completion.
- Problems are expected to be solved, not simply reported.
4. Driver & Delivery Management
- Assign and coordinate daily driver jobs and delivery schedules.
- Monitor driver attendance, punctuality and job completion.
- Track delivery progress and follow up on outstanding deliveries.
- Handle failed deliveries, delays, wrong items, missing goods and damaged goods.
- Coordinate with drivers, warehouse staff and management to resolve issues.
- Ensure every delivery issue is properly followed up until resolved.
5. DO, Billing & Daily Reporting
- Manage and verify Delivery Orders (DO) after completed deliveries.
- Cross-check DOs, driver records and actual delivery results.
- Calculate and verify transportation, delivery and other applicable charges.
- Prepare and consolidate billing information.
- Maintain accurate daily records of deliveries, transportation, drivers, DOs and operational matters.
- Prepare and submit daily operational reports to management.
- Report delays, failed deliveries, missing or damaged goods, driver issues and other incidents promptly.
- Track outstanding matters and ensure proper follow-up.
- Ensure there are no missing records, unexplained charges or unfinished operational matters.
6. Overall Operations Management
- Coordinate daily operations across Office, HR, Warehouse, Logistics, Drivers and Delivery.
- Manage multiple priorities and operational issues simultaneously.
- Identify problems before they escalate and take appropriate action.
- Improve internal processes and operational efficiency where necessary.
- Ensure tasks are properly assigned, followed up and completed.
- Take responsibility for the overall operational flow rather than focusing only on individual tasks.
7. Direct Support to Business Owner
- Work closely with the business owner on daily business and operational matters.
- Follow up on tasks directly assigned by management.
- Assist with meetings, sourcing, events, warehouse visits and business arrangements.
- Accompany the business owner for business trips, meetings, sourcing or work-related activities when required.
- Handle urgent, confidential and time-sensitive matters.
- Take on additional responsibilities when business needs require.
REQUIREMENTS
We are looking for someone who can genuinely handle this role.
- Minimum 2–3 years of relevant experience in operations, logistics, warehouse, transportation, delivery or a related field.
- Experience managing drivers, warehouse operations and delivery processes is highly preferred.
- Experience handling DO, billing, records and daily operational reporting is preferred.
- HR and office administration experience will be an advantage.
- Strong organisational and coordination skills.
- Strong problem-solving and decision-making abilities.
- Able to work independently with minimal supervision.
- Able to manage multiple tasks and problems at the same time.
- Able to work under pressure and respond to urgent situations.
- Strong follow-up skills — if a task is assigned to you, you are expected to follow it through until completion.
- Detail-oriented and comfortable handling records, DOs, billing and daily reports.
- Practical, proactive and hands-on.
- Able to communicate effectively with drivers, warehouse staff, employees, suppliers and management.
- Willing to take on responsibilities beyond a fixed job scope when operational needs require.
- Willing to accompany management on business trips when required.
