Watercraft Marine is seeking a reliable and detail‑oriented Office / Service Administrator to support our daily operations. This role is fully administrative, with responsibilities focused on documentation, coordination, and service job planning. You will work closely with service engineers, port agents, and subcontractors to ensure smooth execution of service activities.
Key Responsibilities
Quotation preparation — Draft and issue quotations to customers
Purchase order creation — Prepare PO documents and match them against invoices
Invoice drafting — Issue invoices and raise payment notes
Document matching — Ensure accuracy between PO, invoice, and payment documentation
Job register updates — Maintain job records and create recurring job alerts
RFQ issuance — Send RFQs to suppliers and track responses
Service job scheduling — Coordinate attendances, travel, and logistics
Stakeholder liaison — Communicate with port agents, service engineers, and subcontractors
General administrative duties as required to support daily operations
Requirements
Prior experience in administration, service coordination, or office operations preferred
Strong organisational skills and attention to detail
Comfortable handling documentation, registers, and structured workflows
Able to communicate professionally with internal and external stakeholders
Proficient in Microsoft Office (Word, Excel, Outlook)
Ability to work independently and manage multiple tasks
