About the Role

We are seeking an experienced Office Supervisor to lead our Medical Reception team at our Quinns Rocks clinic.

This is a hands-on leadership role where you'll support the day-to-day operations of our busy reception team while ensuring an exceptional patient experience from arrival through to departure. You'll provide leadership, coaching and guidance to reception staff, oversee administrative workflows, and work closely with the Site Manager and clinical team to ensure the smooth running of the clinic.

Located in Perth's northern coastal suburbs, our Quinns Rocks clinic provides a welcoming, community-focused environment with modern imaging technology and a dedicated multidisciplinary team. This role is ideal for someone who enjoys leading people, creating efficient processes, and building a positive, high-performing team culture while remaining actively involved in daily clinic operations.

What You'll Be Doing

  • Lead, mentor and support the Medical Reception team in their day-to-day responsibilities.
  • Coordinate daily reception operations to ensure efficient patient flow and exceptional customer service.
  • Assist with patient bookings, enquiries and front desk activities during busy periods.
  • Monitor reception workflows and administrative processes to ensure a high standard of service delivery.
  • Prepare and review operational reports and support workforce planning.
  • Assist with recruitment activities, including interviewing, onboarding and training new team members.
  • Coach and develop staff through regular feedback, performance support and ongoing training.
  • Act as the first point of escalation for patient, referrer and administrative enquiries.
  • Work collaboratively with clinical and operational leaders to continuously improve clinic processes and patient experience.
  • Ensure compliance with organisational policies, privacy requirements and best practice administrative procedures.

About You

You'll be an experienced healthcare administration professional with demonstrated leadership capability and a passion for delivering exceptional customer service.

You'll also bring:

  • Previous experience in medical reception, healthcare administration or a similar patient-facing environment.
  • Demonstrated leadership or supervisory experience managing an administration or reception team.
  • Excellent communication and interpersonal skills with a patient-first approach.
  • Strong organisational skills with the ability to prioritise and manage competing demands.
  • Confidence coaching, mentoring and developing team members.
  • A collaborative approach and the ability to build positive working relationships.
  • High attention to detail and commitment to quality.
  • Experience using practice management systems or Radiology Information Systems (RIS) is highly regarded.
  • Intermediate computer skills across Microsoft Office and administrative systems.
