At Lim & Tan Securities, we are committed to maintaining operational excellence and high standards across our business units. We are seeking a disciplined, organized, and reliable TRBU Officer to handle the core Admin & Operations functions for our Trading Representative Business Unit (TRBU).
In this role, you will play a key part in supporting daily business unit routines, managing administrative workflows, tracking regulatory compliance requirements, and coordinating time-sensitive operational tasks in a structured corporate environment.
Key Responsibilities
· Handle daily office operational requests and process time-sensitive escalations with prompt, immediate follow-up.
· Stay on top of pending tasks via email or phone, track status items, and proactively liaise with internal departments to ensure requests are closed smoothly and on time.
· Process routine administrative reports, update Excel tracking logs, and maintain accurate, clean master spreadsheets.
· Prepare and update department meeting minutes promptly.
· Assist in coordinating Trading Representative (TR) onboarding, transfers, resignations, and meeting room bookings.
· Organize physical and digital filing systems, ensuring accurate document archiving according to company guidelines.
· Prepare, track and monitor mandatory regulatory and professional training hours (e.g., Continuing Professional Development / Career Conversion Programmes) to ensure all Trading Representatives remain fully compliant.
· Help coordinate seasonal and ad-hoc projects, webinar/seminar, and event setups.
· Support the Unit Head with daily operational needs and exciting ad-hoc initiatives.
Job Requirements
· Education & Experience: Diploma / Degree in Business or related fields with 1–3 years of administrative experience. Candidates looking to start their career in administration who possess an organized, detail-oriented mindset are welcome to apply.
· Technical Skills: Proficient in MS Excel (sorting, filtering, basic formulas, structured table formatting) and MS Word.
· Work Style: Comfortable working within structured workflows, standard guidelines, and clear step-by-step procedures.
· Ownership: Proactive mindset with strong ownership, able to follow up on pending items through to completion without needing constant supervision.
