On-site Community Association Manager

CAMS is currently on the search for an On-site Community Manager to manage the BHI Hammocks HOA. This is a full-time fractional ownership community consisting of 6 ½ acre property, clubhouse, and amenities with 25 cottages functioning as a vacation community. Prior homeowners association, property management, and/or hospitality experience is preferred.
The community is on a barrier island accessible by ferry. A ferry pass and parking pass will be provided by the Association. The Community Manager is expected to work on-site and to manage staffing on-site office hours: MTWF 9am-5pm; Th (turnover day) is 9am-6pm.
As an on-site Community Manager, you will build relationships with great homeowners and the Board of Directors and work to provide them with the guidance and management oversight necessary for their association. Our managers are supported by a team of specialists dedicated to assisting the general membership of communities, allowing you to focus your efforts on larger projects and delivering the superb service for which we are so proudly known.
Responsibilities:
HOSPITALITY/OWNER EXPERIENCE
  • Maintain communication with the homeowners
  • Respond to homeowner needs in a timely manner
  • Demonstrate commitment to quality customer service to homeowners
  • Create and foster a welcoming atmosphere to homeowners & guests
BOARD COORDINATION
  • Schedule, prepare for and attend eight (8) monthly Board update meetings and four (4) quarterly Board meetings
  • Organize & implement Annual Homeowners Meeting (one of the 4 quarterly meetings) with assistance from Board members and CAMS support
  • Analyze monthly financial reports, and create variance reports for the board of directors in tandem with the Finance Committee
  • Create monthly management reports
  • Develop and recommend the annual operating budget and Mid-Year Forecast with the assistance of on-site HOA Committees to present to the Board of Directors for approval
  • Attend and contribute to committee meetings where applicable, including Finance, Long Range Planning, Landscaping.
OPERATIONAL/PROPERTY MANAGEMENT
  • Recommend, contact and coordinate all third-party service providers for community maintenance and special projects utilizing established proposals and work order processes
  • Work with all third-party professionals toward accomplishing their objectives to include: engineers, legal firms, insurance firms, construction management firms, and marketing firms
  • Attend regular meetings with the management firm
  • Recommend aesthetic, maintenance, and safety improvements to the community on an ongoing basis
  • Recommend and ensure the consistent execution of all emergency/storm management activity
  • Perform other job functions as assigned including personnel management of on-site staff
  • Abide by the Association’s governing documents and contracts; implement procedures as needed
Requirements and Qualifications:
  • Formal education or professional work experience in Community Management or related field (Bachelor's Degree preferred; CAI designations strongly preferred)
  • Ability to quickly learn new technology
  • Written and oral communication skills
  • Excellent time management skills
  • Public speaking/presentation skills
  • Proficiency in Microsoft office applications (Word, Excel, Outlook)
  • Ability to adapt to varying tasks and problem solving
  • Ability to negotiate and mediate
  • High attention to details including understanding of the building components, landscaping and the community as a whole
  • Able to handle physical activities such as walking up to 3 miles a day, climbing stairs to inspect cottages/properties and easy lifting up to 30 pounds
  • Detail-oriented ability to manage budget
  • Ability to review and analyze financial reports
  • Ability to work on barrier island accessible only by ferry
Benefits and Salary:
The salary range for this position is based upon candidate experience and qualifications. The salary is in the upper five figures.
