Operations and Stewardship Manager
Reporting to the Director of Philanthropy & Engagement, the Operations and Stewardship Manager plays a central role in ensuring that Beaver’s fundraising and engagement work is supported by accurate data, strong systems, thoughtful stewardship, and efficient processes.

The Manager oversees the day-to-day operations of the P+E team’s database and fundraising systems, including gift processing, reporting, data integrity, Annual Fund and campaign tracking, prospect management, and the flow of constituent information across the school. Working closely with colleagues throughout Beaver, the Manager will help ensure that student, parent, alumni, and donor information is captured regularly and maintained in ways that strengthen both current fundraising efforts and long-term engagement.

The Manager also coordinates Beaver’s donor stewardship and acknowledgment program, developing systems and an annual stewardship calendar to ensure that donors, particularly those supporting named funds, endowed funds, and special giving initiatives, receive timely, accurate, and meaningful recognition and reporting.

Data & Operations Responsibilities

  • Oversee the administration, accuracy, and ongoing maintenance of Raiser’s Edge and other Philanthropy & Engagement information systems.

  • Maintain constituent, gift, prospect, and engagement data with a high degree of accuracy.

  • Manage gift processing and ensure the timely and accurate preparation of gift receipts, acknowledgment letters, and related documentation.

  • Produce regular and custom reporting to support the Annual Fund, major gifts, campaign initiatives, endowment, planned giving, and other fundraising priorities.

  • Manage recurring operational processes including annual database rollover, pledge reminders, appeal and solicitor assignments, Board and volunteer lists, and other annual projects.

  • Conduct regular data audits and proactively identify and resolve errors, inconsistencies, and gaps in constituent information.

  • Partner with the Business Office to support monthly and annual gift reconciliation and financial auditing processes.

  • Maintain clear documentation of data standards, procedures, and key operational processes.

  • Provide training and support to P&E colleagues in the effective use of Raiser’s Edge and other fundraising and reporting systems.

  • Support the smooth day-to-day operations of the P&E office, including shared administrative and organizational needs as they arise.

  • Participate fully in the life of the Beaver community, including selected evening and weekend activities.

  • Support additional Philanthropy & Engagement initiatives and special projects as needed.

Stewardship & Donor Relations Responsibilities

  • Coordinate and manage Beaver's stewardship program, including the annual stewardship calendar and timely reporting to donors.

  • Maintain accurate records of stewardship requirements, donor recognition preferences, fund purposes, and other commitments associated with gifts.

  • Work with P&E colleagues and campus partners to gather information, stories, financial updates, and other materials needed for donor reports and stewardship communications.

  • Help identify opportunities to strengthen and personalize the donor experience through thoughtful use of data, reporting, and engagement information.

Annual Fund, Campaign and Fundraising Support Responsibilities

  • Maintain all database systems and accurate information to support annual fund operations and ensure success.

  • Support the creation and maintenance of prospect and volunteer assignments, ask amounts, campaign attributes, and other information needed to execute fundraising strategies.

  • Partner with fundraising colleagues to ensure that relevant information from donor and prospect interactions is captured consistently and can be used effectively in future outreach and decision making.

  • Assist with prospect research and information gathering as needed to support Annual Fund, major gift, and campaign activity.

Desired Qualifications

  • Bachelor’s degree

  • Three to five years of experience in advancement operations, development services, fundraising operations, database management, or a related field

  • Experience working with Raiser’s Edge (preferred) or a comparable fundraising database

  • Strong facility with data, reporting, and information systems, with the ability to translate information into useful reports and tools for colleagues

  • Exceptional attention to detail and commitment to data accuracy and integrity

  • Strong organizational and project management skills, including the ability to manage multiple priorities, anticipate deadlines, and follow projects through to completion

  • Demonstrated ability to develop and improve systems, processes, and workflows

  • Strong written and verbal communication skills

  • Sound judgment and discretion in handling confidential donor, financial, and constituent information

  • A collaborative working style and a record of building productive relationships with colleagues across departments and areas of expertise

  • Intellectual curiosity, initiative, and a willingness to learn

  • Experience with diversity, equity, inclusion, and belonging practices and commitment to ongoing growth in this area

Salary Range:
