Operations Assistant
- Assist the Operations Manager and management with daily operations and site work.
- Coordinate with site teams, subcontractors, suppliers, and service providers regarding project requirements.
- Prepare, maintain, and organize project documents, reports, records, and correspondence.
- Assist with preparation of quotations, purchase orders, delivery orders, invoices, and other operational documents.
- Monitor material orders, deliveries, stock levels, and equipment requirements.
- Coordinate the delivery of mechanical equipment, tools, materials, and supplies to construction sites.
- Follow up with suppliers and subcontractors on delivery schedules and outstanding requirements.
- Assist in scheduling manpower, equipment, transportation, and site activities.
- Maintain records of manpower attendance, equipment usage, material deliveries, and project progress.
- Support the preparation of daily, weekly, and monthly operational reports.
- Assist with safety documentation, permits, checklists, and compliance records.
- Track project-related issues and follow up with the relevant departments until completion.
- Assist with variation orders, work completion records, and supporting documents for project claims.
- Ensure documents are properly filed and updated for easy retrieval.
- Support the Operations Department with general administrative and coordination duties.
- Any other ad-hoc duties as assigned by management
Requirements
- Diploma or relevant qualification in Mechanical Engineering, Building Services, Construction, Engineering, or a related field is preferred.
- Previous experience in construction, M&E, mechanical engineering, facilities, or project operations is an advantage.
- Able to read and understand basic engineering drawings and project documentation.
- Good organizational, coordination, and communication skills.
- Able to work independently and manage multiple tasks and deadlines.
- Knowledge of workplace safety requirements and construction procedures is a must.
