Operations Coordinator

Summary

Coordinates restoration and construction projects for water, fire, and mold damage, managing schedules, budgets, and documentation while liaising with clients and contractors.

Overview

The Operations Coordinator is responsible for supporting the day-to-day operations of the business by coordinating processes, resources, and communications across multiple departments to ensure efficiency and operational excellence. This role works closely with Operations, Sales, Finance, and other internal teams to support project execution, improve workflows, and maintain high levels of customer service. Success in this position requires exceptional organizational skills, attention to detail, strong communication abilities, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities and Duties

  • Coordinate daily operational activities to ensure projects, services, and business processes are completed efficiently and on schedule.
  • Monitor project and operational timelines, identifying potential issues and coordinating solutions proactively.
  • Collaborate with internal departments including Sales, Finance, Human Resources, Procurement, and Operations to ensure effective communication and workflow.
  • Support process improvement initiatives by identifying inefficiencies and recommending solutions to enhance productivity.
  • Ensure compliance with company policies, health and safety procedures, and operational standards.
  • Coordinate meetings, prepare agendas, document action items, and follow up on assigned tasks.
  • Perform other administrative and operational duties as assigned to support business objectives.
  • Perform other duties as assigned.

Qualifications

  • Education
    • High school diploma or equivalent.
  • Experience
    • 2+ years of experience in operations coordination, project coordination, administration, or a similar role.
    • Experience using ERP, CRM, or project management software is preferred.
    • Experience with scheduling, procurement, inventory control, or resource planning.
    • Familiarity with business reporting, KPI tracking, and operational analytics.
  • Skills
    • Strong analytical and problem-solving abilities with attention to detail.
    • Strong organizational and time management abilities.
    • Valid driver's license and willingness to travel to project sites as required.
