- Provides administrative support to a variety of operational functions such as day-to-day administrative tasks and operational workflows across Production, Scheduling, Receiving, Warehouse, Distribution, and QA/R&D departments to ensure accurate documentation and efficient processing.
- Verify and monitor hourly Operations department employee timecards and attendance records to ensure compliance with company attendance policies.
- Serve as backup Production Scheduler, supporting any necessary aspects of the scheduling process, to maintain production flow and meet operational timelines.
- Prepare, organize, and distribute meeting materials; record and publish operations meeting minutes.
- Support and coordinate Operations departmental events including employee recognition activities.
- Support internal and external audits by gathering required documentation, maintaining organized records, and assisting with audit‑related tasks.
- Partner with Forklift Certification Trainer and assist with safety related tasks, including coordinating forklift training and certification, maintaining required documentation for forklift operators and material handlers, and supporting ongoing safety compliance efforts.
- Assist with temporary employee onboarding.
- Manage operational purchasing by sourcing supplies, placing orders, and ensuring compliance with procurement guidelines and sourcing directives.
- Generates reports and assists in data collection and analysis, as needed.
- Schedule Operations department meetings, secure conference rooms, and coordinate meeting logistics.
- Collaborate with cross‑functional teams to support daily operations, while maintaining a high level of professionalism and service orientation.
- Interpret meetings with employees and translate company documents from English to Spanish, which could include Standard Operating Procedures (SOPS), Work Instructions and department signage. (if bi-lingual)
- Perform other duties assigned.
- High School Diploma or GED required; associate degree or coursework in business, operations, or a related field preferred.
- 1–3 years of experience in administrative, operations, or coordination roles required, preferably in a manufacturing, production, warehouse, or distribution environment.
- Strong organizational skills with the ability to prioritize workflow, manage multiple tasks, and meet established deadlines with minimal supervision.
- Must be able to communicate effectively in English, both verbally and in writing, with strong documentation and note‑taking abilities.
- Strong interpersonal skills with the ability to support employees, supervisors, and managers in a fast‑paced operational environment.
- Bilingual in English and Spanish or another common company language is a plus.
- Experience with timekeeping or workforce management systems preferred.
- Proficiency in Microsoft Office Suite and comfort working with electronic databases, spreadsheets, and online tools.
- Strong attention to detail with the ability to maintain accurate records, verify data, and support compliance requirements.
- Demonstrated ability to work collaboratively with cross‑functional teams, vendors, and service providers in a professional manner.
- Highly adaptable and responsive to changing priorities, demonstrating flexibility and a proactive approach to problem‑solving.
- Ability to work occasional off‑shift hours to support meetings, audits, or operational needs.
- Prolonged periods sitting at desk and working on a computer.
- Ability to work in a fast-paced environment.
- Position requires the ability to stand; walking around office and plant; lifting and carrying up to 35 pounds on an as needed basis.
- Low sensitivity to a highly fragranced work environment.
- Position requires you to be around moving machinery.
- Position will include exposure to marked changes in temperature and humidity.
