We are seeking a highly motivated individual for the position of Operations Coordinator within our IRONMAN Foundation team, reporting to Director of Operations and Community Relations and based in our Tampa, Florida office.
The Opportunity:
The IRONMAN Foundation is seeking an enthusiastic Operations Specialist, to serve as a key contributor to the organization’s operational excellence, supporting the systems, processes, and administrative functions that enable the nonprofit to effectively fulfill its mission. This role provides coordination across finance, compliance, data management, board governance, office operations, and strategic initiatives.
The ideal candidate is highly organized, analytical, and solutions oriented, with the ability to manage multiple priorities while maintaining exceptional attention to detail. This individual will work collaboratively across departments within The IRONMAN Foundation and The IRONMAN Group to improve efficiency, strengthen organization infrastructure, and support mission-driven programs and initiatives. The position requires a proactive professional who can identify opportunities for process improvement, manage critical operational functions, and contribute to the long-term success of the organization.
Key Responsibilities:
Organizational Operations & Administration:
- Provide administrative support to organizational leadership and department staff.
- Coordinate and manage day-to-day operational functions to ensure organizational effectiveness and efficiency.
- Support leadership with scheduling meetings, preparing agendas, taking notes, and distributing follow-up materials.
- Manage office operations, including supplies, inventory management, mail distribution and office organization.
- Aid in implementation and improvement of operational systems, processes, and workflows.
Financial & Compliance Administration:
- Support financial operations through donation processing, expense tracking, reporting, and record management.
- Coordination documentation required for audits, compliance reviews, organizational filings, and regulatory requirements.
- Maintain accurate operational and financial records to support transparency and accountability.
- Assist with budget tracking and preparation of financial and operational reports for leadership review.
Program Operations & Project Management:
- Support the implementation and administration of organizational programs, grants, development and special projects.
- Coordinate cross-functional initiatives and maintain project timelines, deliverables, and reporting requirements.
- Coordinate logistics for meetings, events, and stakeholder engagements.
- Track program metrics and assist with impact reporting and grant documentation.
Data Management & Reporting:
- Manage organization databases and operational systems, ensuring data accuracy and integrity.
- Generate recurring reports, dashboards, and performance metrics to support strategic decision-making.
- Maintain historical records, program documentation, and institutional knowledge resources.
- Administrative assistants order office supplies and maintain supplies inventory.

Qualifications & Experience:
- Bachelor’s degree in Business Administration, Nonprofit Management, Public Administration, Finance, Communications, or a related field.
- 2-5 years’ experience in operations, nonprofit administration, project management, finance, or business support functions.
- String proficiency in Microsoft Office Suite, including Excel, Outlook, Teams, PowerPoint, and Word.
- Exceptional communication skills across multiple environments and with diverse audiences
- Excellent multitasking, prioritization, and decision-making abilities.
- Experience with CRM, donor management, accounting, or project management platforms a plus.
- Based out of Tampa, FL. Required to be in Tampa offices for a minimum of three (3) days a week
- Must be able to travel 5-10% of the time, including evenings, weekends, and overnight stays
