Operations Coordinator

Resident & Owner Communication: Respond to tenant and owner emails/Slack messages within the same business day, following existing templates and escalation paths. Keep every communication thread consolidated. Confirm completion of every assigned task in writing the same day it's done; flag anything that will slip, with a new ETA.

Maintenance Coordination: Monitor Latchel and Vendoroo work order queues daily; follow up on stalled tickets. Assign vendors to work orders that come in without one, and keep vendor contact and W-9/COI records current in Rentvine. Collect and log vendor quotes and route larger jobs for approval.

Leasing Support: Keep RentEngine's Command Center and the rental tracking sheet current. Update the weekly scoreboard (leads, showings, days listed, lease-to-list price %, application processing time) — due every week, no exceptions.

Administrative & Systems: Maintain accurate records in Rentvine and Aptly — leases, documents, and files shared at the correct level to avoid cross-exposure. Follow documented SOPs for onboarding, move-ins/move-outs, and vendor setup. Escalate anything outside defined process to the Director of Operations.

Systems & Training: You'll be trained on our full tool stack — Rentvine, Aptly, RentEngine, and Notion — as part of onboarding. No prior property management software experience is required or assumed.

Bilingual, fluent written and spoken English and Spanish — professional, neutral tone in both.

Strong service/hospitality orientation — prior customer-facing or coordination experience (property management experience a plus, not required).

Track record of following through without needing repeated reminders — this role explicitly requires proactive confirmation, not just task completion.

Compensation is paid monthly — the range above is set at the top for this type of role, with a clear path to more scope over time.
