Operations Manager
STAY MONTANA
Operations Manager
Full-Time • In-Field / In-Office • Whitefish, MT
The Operations Manager is one of the most important roles at Stay Montana. You are the standard-bearer for property quality and the direct leader of our field team - the person who sets the tone, holds the line, and makes sure every property is guest-ready, every shift. This is a hands-on leadership role that blends people management, property oversight, and cross-functional coordination. If you lead by example, solve problems before they escalate, and take genuine ownership of your work, this is the role for you.
WHAT YOU'LL DO
Property & Portfolio Operations
• Oversee the day-to-day physical condition of all properties in your portfolio, ensuring every home meets company quality standards at all times
• Conduct and coordinate property inspections for arrivals, departures, maintenance events, and owner requests - including urgent and unplanned visits
• Manage repairs, preventive maintenance, and property upkeep through in-house staff and vetted vendor relationships
• Respond to property emergencies and at-risk owner situations with urgency and professionalism
• Maintain accurate, up-to-date documentation of property conditions, work orders, maintenance history, and vendor performance in Breezeway and other platforms
Team Leadership & Development
• Lead, coach, and hold accountable a team of Inspectors - setting clear expectations and delivering consistent feedback
• Build and manage weekly schedules, daily task assignments, and workload distribution for inspectors, cleaners, and vendors
• Interview and onboard new team members in partnership with HR; maintain staffing levels to meet seasonal demand
• Conduct regular one-on-ones and team huddles to align priorities, address challenges, and develop your team
• Foster a culture where accountability and excellence are the expectation, not the exception
Communication & Cross-Functional Collaboration
• Serve as the primary operational contact for Guest Services, Owner Relations, Business Development, and Maintenance - providing timely, detailed communication on property issues and field conditions
• Represent the operations team in owner-facing meetings and property walkthroughs with professionalism and confidence
• Partner with the Director of Operation/General Manager on process improvements, seasonal planning, and portfolio growth
• Coordinate with vendors and contractors on scheduling, scope of work, quality control, and invoicing
Inventory & Process Management
• Maintain the office par inventory of common maintenance supplies; ensure field teams are stocked and vehicles are prepared at the start of each shift
• Enforce the inspector shift-start checklist process to minimize unplanned runs and maximize time on property
• Identify operational inefficiencies and proactively recommend solutions that improve quality, reduce cost, and enhance the guest and owner experience
WHAT WE'RE LOOKING FOR
• A natural leader who earns respect through consistency, competence, and presence on the ground
• Calm under pressure, decisive when it counts, and solutions-focused when things go sideways
• Detail-oriented — you notice what others miss and nothing falls through the cracks on your watch
• Organized and able to manage competing priorities without losing sight of what matters most
• Clear and professional communicator across all platforms — written and verbal
• Tech-comfortable: Microsoft Office 365, Breezeway, and mobile communication tools
• REAL - Respectful, Excellent, Accountable, a Leader
