Description

JOB OVERVIEW

As Operations Manager, you lead inventory operations for your store. You will schedule your team for success and take ownership of your stock room — from organization to min/max to supply ordering — so that it operates at the highest standard.

CORE EXPECTATIONS

  • Lead by example and set each day up for success.
  • If you find a problem, you find the solution.
  • Stay organized and over-communicate.
  • MYCFI — Make Your Co-worker Feel Important.
  • Hold everyone, including yourself, accountable.

RESPONSIBILITIES

Responsibilities include, but are not limited to, the following.

Team Leadership (If applicable)

  • Build the schedule for your team.
    • Stagger days off to ensure full coverage.
    • Add coverage when needed to support events or holiday weekends.
    • Do not schedule overlapping vacations without approval, and request help when you need it.
    • Confirm timecard accuracy and make any fixes prior to payroll.
    • Adjust the transfer schedule when necessary.
  • Set your team up for success.
    • Keep communication open when changes need to be made.
    • Hold a huddle each morning to make the plan for the day, prioritized by urgency.
    • Check in weekly with your team to confirm tasks are complete and find out whether they need help.
    • Keep everyone on task and keep the stock room clean and organized.
    • Hold everyone accountable.
  • Conduct seasonal performance reviews for your team.

Shipping

  • Use ShipStation accurately to send any pending staff shipments.
    • Make sure the correct emails are entered so tracking numbers reach both the client and the Sales Wrangler.
    • Confirm the shipping address is accurate and verified.
    • Use the proper insurance when necessary.
    • Pay attention to when a signature is required.
  • Ship items out on time, especially when the client has paid to expedite.

Transfers

  • Ensure the accuracy of all incoming and outgoing transfers.
    • Use the tablets to scan outgoing transfers and alert the Purchasing Director to any errors.
    • Alert the sender to any errors on incoming transfers.
  • Pull outgoing transfers in a timely manner.
  • Pack items properly. For example:
    • Jewelry packed in bubble packs, so chains do not tangle
    • Buckles wrapped so they do not scratch
    • Boxes not overloaded to the point that they are too heavy or could open in transit
    • Paperwork included in every box — the transfer printed from Counterpoint, plus box contents if necessary
  • Put all new stock and fill-ins in their appropriate places on the sales floor or in backstock.

Receiving & Retagging

  • Receive product as needed.
    • Check the shipment in and compare the invoice against the purchase order.
    • Receive it in Counterpoint and send the paperwork to Payables.
    • Tag and display the product.
  • Retag product as needed.
    • You will receive emails asking you to retag with updated retail or sale prices and, at times, new codes.
    • Complete these with a sense of urgency.
    • Highlight the sale price on tags.

Returns to Vendor

  • Follow company protocol and procedures to process all returns to vendor (RTVs).
    • Process stock returns through Counterpoint.
    • Ensure customer returns have a receipt attached.
    • Use the HRT website to fill out the information needed to send an item back for repair or credit.
    • Photograph each item being sent out, using the tablet.
    • Add the tracking number to the HRT website once the item has shipped.
  • Complete RTVs daily. This keeps customer service at a high level and keeps our accounting accurate for damaged and credit-return items.

Stock Room & Facilities

  • Lead weekly walk-throughs with management.
    • Complete the 5 sq. ft. review of your stockroom organization — what can be improved, cleaned up, or restocked?
    • List the items store managers feel need replenishing and email the list to the Purchasing Director.
    • List the supplies you need from DV, and email Basalt.
    • List the supplies that need to be ordered or purchased from the store.
  • Handle building maintenance.
    • Take proper action on any building maintenance issue, from AC repair to roof and bar leaks.
    • Send quotes to managers for approval ahead of any repair.

Min/Max & Space Planning

  • Update your min/max for product when needed.
  • If new boots are coming in, you may need to update current stock so everything fits.
  • If you are overflowing on an item relative to the stock and retail space available, make a change and alert the proper channels.
  • Update the model stock file on Common for boot and hat space whenever quantities are added to or removed from the sales floor or stock room.

Inventory Counts

  • Help lead your store through the twice-yearly full store inventory counts.
    • Schedule your team.
    • Prep the store in advance.
    • Check for all missing tags.
    • Clear pick boxes and wish lists as needed.
    • Review hold shelves with the Wranglers and management.
    • Ensure all pending RTVs have been processed.
    • Work with your team on counting and reconciling.
  • Run cycle counts.
    • Work under the direction of the Inventory Analyst and the Purchasing Director to count prescheduled categories or vendors.
    • Send all variances to the Purchasing Director for review prior to posting.

Negatives

  • Review the negative report emailed to you by HRT every two days. Do not let these build up.
  • Make the proper fixes, such as:
    • Ringing up damaged items at $0
    • Processing exchanges under customer profiles for incorrect items
    • Ringing up at $0 for store use or return to vendor (RTV)
  • Do not make inventory adjustments without approval.

Sales Floor Support

  • Restock the sales floor on a regular basis.
    • Run reports to make sure all boots are on display.
    • Check boots regularly to see whether they need tags.
    • Refill hat bands, apparel, gloves, home goods, and accessories so a full assortment is on display.
  • Review pick boxes regularly — at least twice a month.

Communication

  • Acknowledge and respond to emails.
