About the Role:
We are seeking a proactive and detail-oriented Operations Specialist to support our core operations and keep our office running smoothly. In this role, you will manage day-to-day office supplies, vendor relationships, and health and safety reporting, while playing a key part in logistics by coordinating seamless travel arrangements. Beyond general administration, you will provide critical support to our programs and team growth by assisting with grant applications and reporting, as well as conducting preliminary HR tasks such as initial candidate reviews and screenings.
This role is 100% in-office, based in Toronto, ON. We are building something tangible, and your presence in the office is vital to maintaining the connective tissue of our culture and operations.
Key Responsibilities:
- Office Operations & Logistics: Oversee inventory, order office supplies, manage vendor relationships, and coordinate all travel logistics and accommodations.
- Financial & Grant Support: Log and process basic expense entries, reconcile simple receipts, and assist with grant applications and compliance reporting.
- Health & Safety: Maintain health and safety records, assist with compliance reporting, and help enforce workplace safety protocols.
- HR Support: Assist the hiring team by conducting initial resume reviews, screening candidates, scheduling interviews and candidate onboarding.
- General Administration: Provide cross-departmental support, manage filing systems, and handle ad-hoc administrative tasks as needed.
Minimum Requirements:
- 2+ years of experience in an administrative, office support, or operations role.
- Strong organizational skills with high attention to detail and multi-tasking ability.
- Comfort with basic bookkeeping, data entry, or expense tracking routines.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite and Google Workspace.
- Familiarity with grant tracking, expense management tools, or basic HR screening practices is a strong plus.
- You are tech savvy - you have a natural aptitude for picking up new tools.
