About the Role
Operations Specialists at Success Academy create the conditions for a safe, welcoming, and well-run school, enabling educators to focus on teaching and scholars to thrive. Reporting to the School Business Operations Manager, they master and independently execute the daily systems that keep school life running smoothly, from student records and family communications to facilities, supplies, and school events. They bring urgency, precision, and sound judgment to competing priorities, follow issues through to resolution, and keep leaders informed.
Key Responsibilities
- Run daily school operations with consistency. Learn and execute Success Academy’s established procedures, independently manage assigned routines and critical transitions, and address deviations promptly to maintain school standards.
- Deliver accurate, timely work. Complete operational tasks and projects with urgency and attention to detail, track outstanding items, and follow through until issues are resolved.
- Maintain reliable records and systems. Keep student forms, attendance records, and relevant scholar health information accurate and current, and use school data systems confidently to support daily operations.
- Uphold exceptional standards for the school environment. Maintain Success Academy’s standards for school design, presentation, cleanliness, and organization, ensuring every space is safe, welcoming, thoughtfully arranged, and ready for learning. Conduct regular walkthroughs, address deficiencies promptly, and coordinate facilities upkeep, ordering, inventory, and vendor support to keep the school consistently at its best.
- Prioritize and communicate effectively. Assess competing needs based on safety, urgency, and instructional impact; follow escalation protocols; and keep the School Operations Manager informed of progress, risks, and recommended next steps.
- Create an exceptional family experience. Make every interaction welcoming, helpful, and responsive, building trusting relationships that help families feel known, valued, and connected to the school community. Provide clear, timely communication, anticipate needs, and resolve concerns with care and follow-through. Help families navigate school routines and understand the purpose behind policies, and coordinate thoughtful communications and well-run events that strengthen engagement and trust.
- Learn and improve continuously. Take responsibility for mistakes, apply feedback promptly, and recommend practical improvements grounded in daily experience and established standards.
