Operations Support Specialist (Temporary)
Position Summary:
The Operations Support Assistant executes routine tasks to support product review and data management initiatives. They will work and maintain database software systems and can work with supervision to support process updates, maintain data quality, and execute verification initiatives according to specific business rules and client needs.
Essential Duties and Responsibilities:
- Demonstrates and promotes the company vision.
- Under direction, supports daily operations for team to be able to execute activities and approvals per client rules with responsibilities such as but not limited to:
- Organizing shared inbox and ensuring correct team member receives message in a timely manner
- Engages with third-party vendors to gather documentation for the team
- Checking deadlines to ensure follow up is being conducted in a timely interval
- Identifies gaps and/or missing information and communicates to appropriate contact.
- Maintains and updates documentation as required.
- Works within specialized software systems
- Contributes to process improvement initiatives.
- Updates data files that support the program
- Collaborates and communicates with leaders, colleagues, and subject matter experts within organization effectively.
- Establishes and maintains professional rapport with colleagues.
- Follows SOPs and best practices under supervision.
- Participates in meetings and conference calls.
- Regular attendance and punctuality.
- Seeks out information/facilities to get the job completed.
- Conducts all activities in a safe and efficient manner.
- In addition, any other duties which may reasonably be expected to fall within the scope of this position, as assigned.
Basic Minimum Qualifications (BMQ):
To perform this job successfully, the individual must be able to perform each essential duty satisfactorily. The requirements below are representative of the knowledge, skill or ability required.
Education/Experience (BMQ):
Education Minimum Required:
- Bachelor’s degree in food science/technology, life science, quality, regulatory affairs, or related field.
- Work experience may be substituted for education.
Experience Minimum Required:
- 0-3 years of experience
Ability and/or Skills (BMQ):
- Strong organizational skills and attention to detail
- Demonstrated competency with Microsoft Excel, Word, PPT and databases is essential
- Strong verbal and written communication abilities
- Ability to execute multiple assignments/ tasks
- Ability to maintain a mindset focused on continuous improvement
- Knowledge of food and supplement regulations (FDA, CFR, Labeling, Nutrition) would be an asset
- Database experience a plus
Duration:
- 3 months, with the possibility of extension or converting to full-time
