Under the leadership of the Clinical Manager, the OT Assistant Clinical Manager (ACM) will be responsible for supporting the delivery of therapeutic services to children and adolescents. The Assistant Clinical Manager leads with proactive dedication to clinical excellence, supporting therapists and ensuring the highest standards of care for our young patients.

This role demands exceptional clinical expertise, strong leadership skills, and a genuine passion for working with children. Acting as a role model, the Assistant Clinical Manager is committed to embedding joy into treatment, tailoring therapeutic approaches to each client, and consistently going beyond basic requirements to achieve impactful goals.

Building trust with clients and internal partners is essential, as is handling challenging situations with effective interpersonal skills to maintain a constructive environment. By fostering collaborative relationships, the Assistant Clinical Manager facilitates the accomplishment of shared goals, embodying Playabilities' Core Values and Management Team Expectations.

This position involves providing direct clinical care, working with interdisciplinary professionals, and overseeing clinical operations in the absence of the Clinical Manager, all to support an environment focused on quality care and growth.

Key Responsibilities

  • Specialized Clinical Guidance and Mentorship
    • Provide in-session support for providers in the same discipline.
    • Provide feedback support in implementing diagnostic or treatment approaches.
    • Provide discipline-specific documentation audits to ensure therapist’s documentation meets medical necessity requirements, offering guidance to improve documentation quality.
    • Co-sign documents for other therapists in the same discipline.
    • Mentor new hires of the same discipline.
    • Participate as a primary evaluator on the evaluation team. Will be assigned dedicated evaluation slots on their schedule with a minimum of three (3) scheduled per week
    • Address day-to-day questions from therapists, proactively guiding them to solutions.

  • Interdisciplinary Collaboration
    • Provides cross-disciplinary training of treatment approaches.
    • Supports therapists in other disciplines to use equipment safely.
    • Supports therapists in other disciplines to use strategies related to a client's whole plan of care (i.e. positioning support for OTs, communication/feeding awareness for PT/OT).
    • Collaborates and problem-solves with therapists to help design care plans that provide support across domains of need.

  • Clinic Operations and Supports
    • Completes end-of-day process in Raintree and follows up with therapists to ensure they are meeting expectations.
    • Communicates any documentation performance concerns and trends to the Clinical Manager as necessary.
    • Supports clinic-themed activity development and implementation.
    • Assists with organizing clinic spaces and therapy materials.
    • Responsible for communicating needs for replacements or orders of new materials, including inventory and assessments (forms and protocols).
    • Escalates any clinic concerns or safety events to the Clinical Manager.
    • Assists the Clinical Manager with miscellaneous duties as assigned.

  • After-hours Management Support
    • Provides managerial support with any therapist, client, or family need when the Clinical Manager is unavailable.
    • May be asked to provide support when the front desk is unoccupied.

  • Diagnostic and Treatment Responsibilities
    • The therapist will need to be a quick learner, capable of juggling multiple tasks and responsibilities at one time while providing high-touch service to clients, families, and caregivers. As part of the expectations of an evaluating and treating therapist, the Assistant Clinical Manager will:
      • Use expertise and creativity to connect with clients.
      • Implement a variety of approaches to determine the correct therapeutic fit for individual clients.
      • Conduct play-based one-on-one billable treatment sessions.
      • Complete tasks as assigned such as completing reports and other required documentation after billable treatment sessions.
      • Evaluate client progress and implement changes to therapy programs as required.
      • Communicate effectively with clients, families, and caregivers.
      • Pursue continuing education opportunities and seek further knowledge to expand areas of expertise within the discipline.
      • Adhere to all Playabilities’ policies, procedures, and protocols.
      • Maintain client confidentiality in accordance with HIPAA guidelines.
      • Completes accurate and timely documentation in the electronic medical records system to ensure compliance with regulatory standards and best practices in adherence to company policy.
        • Assistant Clinical Managers are expected to have daily notes completed by the lesser of the following:
          • Within four (4) business days from the appointment
          • Prior to the next scheduled appointment for that client for the specific discipline
          • All notes must be signed prior to the next scheduled appointment for that client for the specific discipline.
      • Conducts comprehensive evaluations prior to initiating services and develops individualized Plans of Care.
        • Assistant Clinical Managers are expected to have evaluation documentation completed by the lesser of the following:
          • Within five (5) business days from the appointment
          • Prior to the next scheduled appointment for that client for the specific discipline
        • All evaluations must be signed prior to the next session that a therapist sees that client

Skills/Licensure/Certification/Knowledge:

  • Current licensure or certification as applicable to the specific discipline (e.g., Physical Therapist, Occupational Therapist, Speech-Language Pathologist) in the State of Kansas.

Additional Details

Availability:

  • Forty (40) hours/week of availability, spread across five (5) days/week. .
    • 31 hours of therapy scheduled per week.
      • The Assistant Clinical Manager may be asked to reserve three (3) 2-hour timeslots on their schedule for evaluations per week as part of their therapy-provided hours.
      • The remaining time outside of direct treatment is available for administrative responsibilities.

Education:

  • Must have at least master’s or doctorate degree in Occupational Therapy from an accredited university.

Experience:

• Minimum of 2 years of working in the field of pediatric therapy preferred

Physical Demands:

  • Lifting: Occasionally lift or move up to 30 pounds.
  • Mobility: Sit or stand for long periods, walk, bend, and reach to interact with clients, set up therapy spaces, or move between rooms.
  • Technology: Ability to use multiple computer components to track progress and maximize productivity.
  • Manual Tasks: Utilize hands for documentation and therapy tools (e.g., stress balls, charts).

Occasional Physical Assistance:

  • Assisting Clients: Light physical support may be required (e.g., guiding clients to a chair).
  • Therapy Tools: Set up or adjust therapy aids such as sensory equipment, chairs, and visual aids.

Sensory Demands:

  • Hearing: Actively listen to clients, picking up on tone, inflection, and non-verbal cues.
  • Vision: Observe client behavior, interpret body language, and review written and electronic documentation.
  • Speech: Clear and effective verbal communication with clients, families, and team members.

Client Interaction Requirements:

  • Emotional Engagement: Maintain professionalism in emotionally charged situations or when clients are in distress.
  • Physical Proximity: Comfortable working closely with clients and maintaining appropriate physical boundaries.
  • De-escalation Skills: Use verbal techniques to calm clients in crisis, maintaining a calm and compassionate demeanor.

Cognitive & Emotional Demands:

  • Concentration: Maintain sustained focus during therapy and while documenting case notes.
  • Emotional Resilience: Manage emotional responses when dealing with sensitive client situations.
  • Conflict Resolution: Ability to mediate disagreements and navigate difficult client dynamics with understanding and professionalism.

  • Ability to work in various settings such as office, clinic, remote (if applicable), or community locations.
