Position Summary
This position is responsible for providing support to all program staff within the Support Services ACCESS Outreach programs. This position will report directly to the Peer support supervisor. The Outreach Program Support Specialist II will perform a variety of general office tasks including data entry, file review, file maintenance, program eligibility, scheduling, refining procedures, and return phone calls, in addition to other office duties.
Position Duties & Responsibilities
- Perform and refine administrative duties to support the Outreach and Peer support program.
- Input accurate information promptly into multiple databases as necessary.
- Assemble and maintain files and reference materials as instructed by ACCESS procedures.
- Perform documentation and file reviews for data errors. Update program policies and procedures as instructed by the Outreach Manager and Peer Support Supervisor.
- Process and review program applications according to ACCESS program procedures, accurately and promptly.
- Schedule and coordinate Front desk responsibilities.
- File, maintain, and/or shred documents according to ACCESS procedures.
- Coordinate with other Departments and/or Agencies to provide referrals for programs/services in the community to ensure maximum service to participants.
- Answer phone calls and emails from people looking for Outreach/ Peer Support services.
- Schedule appointments for Outreach staff as requested.
- Help maintain records of all Outreach contacts as requested.
- Return phone calls from the Outreach team phone line promptly, responding appropriately.
- Run reports in the case management system and report accuracy to the supervisor.
- Work closely with the Outreach intake and program support positions in developing walk-in service delivery and coordinating office outreach efforts.
- Complete other duties and special projects as assigned by the Outreach Program Supervisor.
