· Work with insurance brokers, carriers, outside attorneys, and company leaders to request improved coverage and terms, clarify policy language, and coordinate proposed changes. Review insurance and risk-transfer provisions in business contracts, including indemnification, additional insured status, and waiver of subrogation. Document negotiated terms and obtain required approvals before binding coverage or finalizing agreements.

· Serve as a coordination contact with outside attorneys on lawsuits, claims, employment matters, and other legal cases involving the company or associates in connection with company business, as authorized by leadership and counsel.

· Collect and organize contracts, incident reports, correspondence, personnel records, and other case materials. Prepare factual timelines, matter summaries, and document indexes for attorney review.

· Provide litigation support and legal case coordination, assisting counsel with document preservation, discovery requests, subpoenas, interviews, depositions, and hearing preparation. Track deadlines, coordinate meetings, and follow up on outstanding requests.

· Maintain a confidential legal matter tracker showing status, assigned counsel, key dates, requested actions, and costs. Review legal invoices for administrative accuracy and route for approval.

· Conduct factual and legal research as directed by counsel; assist with routine corporate records, filings, correspondence, and related compliance documentation.

· Protect confidential company and associate information, follow counsel’s direction regarding privileged materials, and perform other related duties as assigned.

Qualifications

· At least two years of experience as a paralegal, corporate paralegal, or legal assistant performing substantive paralegal work; approximately three to ten years of relevant experience is preferred. Candidates with additional relevant experience are welcome.

· Experience reading business contracts, organizing legal matters, and working with attorneys. Corporate, construction, real estate, insurance, hospitality, or employment law experience is preferred.

· Familiarity with certificates of insurance, commercial insurance policies, policy renewals, and insurance contract negotiation support. Ability to compare coverage terms and identify issues for broker, attorney, and leadership review.

· Strong writing, proofreading, research, organization, and follow-up skills, with sound judgment and careful attention to detail.
