Part-Time Events Host
The Events Host will be responsible for monitoring special events and facility rental activities and ensuring that the guests have an enjoyable experience while maintaining the integrity of the Science Center. This position reports to the Events Manager and will deliver exceptional customer service and maintain customer satisfaction. The position will provide administrative support to the Events Manager, facilitate the day-of responsibilities of external vendors and serve as the point person for the client.
RESPONSIBILITIES:
• Provide administrative support to Events Manager.
• Respond to customer inquiries in a timely manner.
• Conduct site visits with potential clients.
• Assist Events Manager on sales calls.
• Serve as day-of contact for special events and facility rentals, and act as liaison between KSC staff, outside vendors and renters.
• Deliver exquisite customer service to clients. Always be attentive and try to anticipate any needs in a pro-active manor.
• Perform pre-event walk through to ensure customer expectations are met and exceeded. This includes coordinating with others to ensure set-ups are correct and facility is superbly cleaned.
• Meet all vendors in the loading dock and escort to Riverview Room in the freight elevator. Coordinate with Security for vendor arrivals/departures and freight elevator needs.
• Provide caterers with instructions on phone usage and list of KSC contact extensions.
• Greet all guests in the lobby upon arrival.
• Make sure main elevator is keyed on for access to 4th floor for the duration of the event and is keyed off after guests exit the property.
• Maintain knowledge of all KSC rules and guidelines and ensure they are understood and followed by catering staff, guests, vendors and contract staff.
• Periodically check with renters and caterers throughout duration of event and resolve any issues as needed.
• Document any problems or issues that arise, provide parties involved with Group Sales and Rentals Manager’s business card if further action is necessary.
• Complete vendor walkthrough checklist at the conclusion of all events to ensure all tables, chairs and other KSC equipment are returned to proper locations, and the room is clear of all vendor supplies, decorations, equipment, trash, etc.
• Provide final attendance headcount upon conclusion of event for reporting purposes.
Responsible for assisting with room setup and tear down for events
Maintain a professional appearance and behavior at all times.
Attend monthly scheduling meetings.
Perform other duties as requested
• Must be able to work flexible hours, including nights, weekends and holidays.
• Punctuality is very important.
• Must have excellent communication skills, both written and oral.
• Prior event management experience preferred.
• Ability to meet deadlines and perform work schedule conscientiously.
• Ability to be detail-oriented in a distracting and changing environment.
• Ability to maintain professional appearance.
• Ability to work as a team member with other staff.
• Must be able to lift up to 25 lbs.
• Catering, event management, wedding, hospitality, customer service experience or a combination preferred.
Education Requirements
• High school diploma or above
