Job Summary
We seek a proactive, organised Part-Time Office Administrator to support daily operations in a fast-paced environment. You will collaborate with leadership, clients, and partners to ensure efficient, professional business workflows.
Responsibilities
- Manage and coordinate calendars, appointments, and meeting schedules to optimize leadership time
- Organise meeting invitations and communicate schedules, deadlines, and follow-ups to key stakeholders
- Anticipate scheduling conflicts and prioritise urgent matters to support effective time management
- Provide comprehensive administrative support to the leadership team, enabling smooth decision-making
- Liaise professionally with clients, internal teams, insurers, and external partners to maintain strong relationships
- Coordinate daily operational activities to ensure efficient business workflows and timely task completion
- Arrange meetings, prepare agendas and supporting materials to facilitate productive discussions
- Record meeting minutes and monitor follow-up actions to ensure timely completion of assigned tasks
- Facilitate clear communication and coordination among stakeholders to support collaboration
- Conduct research and gather relevant information to support business planning and informed decisions
- Prepare accurate reports, presentations, correspondence, and business documents with professionalism
- Maintain organised records and handle confidential information with discretion and integrity
Preferred competencies and qualifications
- Diploma or higher qualification preferred
- Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
- Friendly and confident communicator able to build positive relationships with clients, colleagues, and stakeholders
- Strong organisational skills to manage multiple priorities and deliver quality work within deadlines
