PART TIME SHIPPING ASSISTANT

About the Role
As a Shipping Assistant, you'll act as the key coordination point between suppliers and customers — managing purchase orders, tracking delivery timelines, monitoring payments, and arranging shipments. This role is ideal for someone who is detail-oriented, communicative, and comfortable juggling multiple moving parts at once.
Key Responsibilities
- Liaise with suppliers and customers to confirm order details and delivery schedules
- Issue purchase orders (PO) to suppliers and follow up on order confirmation and progress
- Track and monitor delivery timelines to ensure on-time fulfillment
- Coordinate and arrange delivery logistics with carriers/freight forwarders
- Monitor customer payment status and follow up on outstanding payments before arranging delivery
- Communicate proactively with customers regarding order status, delays, or changes
- Maintain accurate records of POs, shipments, and payment status
- Resolve delivery or supply issues by coordinating between suppliers, carriers, and customers
- Update internal systems/spreadsheets with shipment and order tracking information
Qualifications
- Diploma or degree in Logistics, Business, Supply Chain, or related field (or equivalent experience)
- Previous experience in shipping coordination, logistics, procurement, or customer service preferred
- Strong communication and negotiation skills — comfortable liaising with both suppliers and customers
- Good organizational skills with ability to manage multiple orders/timelines simultaneously
- Basic understanding of purchase orders, invoicing, and payment terms
- Proficient in Excel/spreadsheets; familiarity with Quickbook systems is a plus
- Detail-oriented, reliable, and able to work under time pressure
