Job Overview
The Patient Care & Treatment Coordinator is responsible for delivering an exceptional patient experience from initial enquiry to treatment completion. This role manages patient communications, treatment coordination, appointments, and follow-ups while supporting clinic growth through strong patient engagement and treatment conversion.
Key Responsibilities
Patient Care & Coordination
• Serve as the main point of contact for patients via WhatsApp, phone, email, and in-person interactions.
• Guide patients through their treatment journey and ensure a positive experience.
• Follow up on appointments, treatment plans, recalls, and patient enquiries.
• Handle patient concerns and feedback professionally.
Treatment & Financial Coordination
• Explain treatment plans, procedures, fees, and payment options clearly.
• Support treatment acceptance through effective patient communication.
• Coordinate treatment schedules based on doctor availability and patient needs.
• Ensure all treatment consents and documentation are completed accurately.
Appointment & Operations Management
• Manage appointment bookings across clinics.
• Optimise clinic schedules and minimise cancellations or appointment gaps.
• Maintain accurate patient records, treatment charges, and clinical documentation.
• Liaise closely with doctors, nurses, and clinic teams to ensure smooth operations.
Roadshows & Marketing Support
• Participate in roadshows, marketing events, and community outreach activities.
• Engage prospective patients and provide information on clinic services.
• Follow up on event-generated leads and convert enquiries into appointments.
Compliance & Quality
• Adhere to clinic SOPs, regulatory requirements, and patient confidentiality standards.
• Ensure accurate and timely documentation of patient records and case updates.
Business Performance
• Support clinic growth by improving treatment acceptance and patient retention.
• Follow up on pending treatments and inactive patients.
• Track patient conversion rates and treatment progress.
Requirements
• Minimum 5 years of experience in healthcare, dental, aesthetics, hospitality, luxury retail, or customer service roles.
• Previous experience in a dental, medical, or aesthetic clinic environment is preferred.
• Strong communication, interpersonal, and customer service skills.
• Highly organised, proactive, and able to multitask effectively.
• Comfortable working in a fast-paced and target-driven environment.
Working Environment
• Multi-branch clinic environment (Orchard, Tai Seng, Raffles Place).
• May be required to travel between clinics and event locations.
• Participation in roadshows and marketing activities is required.
• Roster-based schedule, including weekends when required.
• Occasional availability outside normal working hours may be required to support patient enquiries and operational needs.
