Patient Care Coordinator – Surrogacy (Journey Coordinator)

Job Objective

Accompany and coordinate the complete journey of each patient in the surrogacy program. You will ensure that each stage is completed on time, according to the Institute's standards, and with clear, empathetic communication.

What you will do

• Coordinate each stage of the process, from patient activation to stage closure, with a designated responsible party and target date.
• Compile and keep the file up to date, verifying that documentation is complete and current.
• Request and follow up on payments, confirming that they are reflected in internal systems.
• Manage medical expense insurance policies for the surrogate: issuance, validity, and renewal.
• Schedule cycles, studies, endometrial preparation, and embryo transfers with the IVF lab, nursing, and medical departments.
• Keep the patient informed about their stage, documents, payments, and key dates, handling sensitive cases with empathy.
• Anticipate pending tasks and risks, escalating them in a timely manner to the Journey Coordinator Leader.

What we are looking for

• Education: Bachelor's degree in Business Administration, Psychology, Nursing, Health Sciences, or a related field.
• Experience: 2+ years in patient coordination, case management, or customer service in the healthcare sector, preferably in fertility clinics. Experience in conflict resolution, mediation, and patient care.
• Languages: English, French, German
• Warm and personalized approach, solution-oriented, empathetic, and excellent executive presence.
