Job Summary
Responsible for processing and responding to patient correspondence received by mail to support accurate communication and timely service. Provides assistance in reviewing, sorting, and documenting patient mail while addressing routine inquiries and escalating complex issues as needed. Ensures compliance with organizational policies, HIPAA, and regulatory standards. Develops foundational knowledge of patient financial services, correspondence workflows, and customer service practices.
Essential Functions
• Reviews, sorts, and logs incoming patient correspondence and mail.
• Reads and responds to routine patient questions and requests received via mail using standard templates and guidelines.
• Escalates complex or unclear correspondence to senior staff for resolution.
• Updates patient account records with correspondence notes and documentation.
• Ensures compliance with HIPAA and organizational policies in all communications and documentation.
• Prepares outgoing correspondence, letters, and informational packets as required.
• Collaborates with revenue cycle and patient service teams to address correspondence-related issues.
• Participates in training to develop knowledge of policies, procedures, and correspondence handling systems.
• Maintains confidentiality of patient information at all times.
• Performs other duties as assigned.
Education Requirement: High School Diploma or equivalent
Experience Requirement: 0-2 years of experience
An equivalent combination of education and experience may be considered. All experience must be paid and in the same related field. Part-time and PRN experience will be prorated based on hours worked per week. Volunteer work and internships for academic credit are not counted.
