Patient Interaction & Customer Service

  • Greet patients and visitors in a courteous and professional manner.
  • Assist patients with check-in and check-out processes.
  • Respond to patient inquiries in person and over the phone, providing accurate information regarding services, appointments, and clinic policies.
  • Address patient concerns or complaints and escalate issues when necessary to ensure patient satisfaction.

Appointment Scheduling & Coordination

  • Schedule, reschedule, and confirm patient appointments using clinic systems.
  • Coordinate referrals, follow-ups, and specialty visits as needed.
  • Ensure appointment availability is optimized, and provider schedules are efficiently managed.

Insurance & Registration

  • Collect, verify, and update patient demographic and insurance information.
  • Obtain necessary documentation, authorizations, and signatures.
  • Explain insurance coverage, co-pays, and payment expectations when appropriate.

Financial Responsibilities

  • Collect co-pays, deductibles, and outstanding balances.
  • Process payments and maintain accurate financial records.
  • Reconcile daily cash reports and ensure proper handling of funds.

Administrative Support

  • Maintain accurate patient records in the electronic health record (EHR) system.
  • Scan, file, and manage documents in compliance with clinic policies.
  • Assist with correspondence, forms, and reports as needed.

Compliance & Confidentiality

  • Adhere to HIPAA regulations and maintain strict patient confidentiality.
  • Follow clinic policies, procedures, and regulatory requirements.
  • Ensure all documentation and processes meet compliance standards.

Team Collaboration

  • Work closely with medical staff, billing teams, and management to ensure smooth clinic operations.
  • Communicate effectively with providers regarding patient flow and scheduling needs.
  • Support overall clinic efficiency and patient experience initiatives.

Required Skills & Qualifications

  • High school diploma or equivalent
  • Previous experience in a healthcare 0-2 years of related experience. Previous clinic experience preferred.
  • Strong communication and interpersonal skills.
  • Proficiency with computers, electronic health records (EHR), and scheduling systems.
  • Ability to multitask in a fast-paced environment.
  • Strong attention to detail and organizational skills.

Work Environment

  • Fast-paced clinical setting with frequent patient interaction.
  • Requires standing, sitting, and occasional movement throughout the clinic.
  • May involve handling sensitive or urgent situations.
