Description

Payroll Administrator

Function / Department: Corporate Shared Services

Reports to: VP of Financial Planning and Analysis

Location: Remote

Status: Part time, non-exempt

Entities supported: all AMH entities

Position summary

Owns the biweekly payroll cycle for Alliance Marine and its affiliated entities. This is a hands-on, multi-entity role covering payroll processing, personnel action forms, state payroll tax registrations, and employee payroll records across all supported entities. Journal entries, accruals and reconciliations sit with the accounting team; this role supplies them with accurate payroll data and reporting.

Core responsibilities

Payroll (biweekly)

  • Run biweekly payroll in Paycom per documented SOP.
  • Validate hours, pay rates, deductions and earnings codes before each run; resolve discrepancies with managers before close.
  • Final-approve PAFs: terminations on the final day worked; bonuses, severance and pay changes on the effective date; rehires on or before the rehire date; create holiday PAFs for active hourly employees.
  • Maintain the Full Data Extract file and produce payroll reporting for the accounting and finance teams.
  • Maintain all state payroll withholding and SUI accounts.
  • Process off-cycle and manual payments, including replacement payments for returned direct deposits or uncashed paychecks.
  • Download quarterly payroll reports from Paycom; run the annual pay and W-2 review and W-2 mailing.

Employee data and records

  • Maintain accurate employee records in Paycom: new hires, terminations, transfers, pay changes and tax elections.
  • Process employment verifications, garnishments, child support orders and unemployment claims.
  • Keep PTO accrual settings and balances accurate.
  • Serve as the first point of contact for employee questions on pay, deductions and time off balances.

Year-end

  • PTO adjustment.

Required qualifications

  • Three or more years of hands-on payroll processing experience, including multi-entity payroll.
  • Experience with a full-service payroll platform; Paycom strongly preferred.
  • Payroll tax competence: multi-state withholding and SUI account maintenance, quarterly filings, and W-2 review and release.
  • Comfortable using Excel, including pivot tables, linked workbooks and data extracts.
  • Demonstrated accuracy under fixed, non-negotiable deadlines; payroll dates do not move.

Preferred qualifications

  • Bachelor’s degree, or equivalent payroll administration experience.
  • Experience supplying payroll data to an accounting team through month-end close.
  • Property management, marina or real estate services industry background.

Key competencies

Precision, because a payroll error reaches every employee at once and is visible immediately. Ownership of a recurring calendar without reminders. Clear, patient communication with employees about pay questions. Documentation discipline, since much of this role’s knowledge currently sits in SOPs, video recordings and personal file paths.

Systems used

  • Paycom, Microsoft Excel, SharePoint.
