Summary
The Payroll Specialist is responsible for managing all aspects of the company’s weekly and biweekly payroll processes. This role ensures accurate and timely payroll processing, compliance with applicable regulations, and seamless communication with internal teams. The position requires close attention to detail, strong organizational skills, and a thorough understanding of payroll systems and procedures, with a focus on maintaining accurate records and supporting the company’s financial operations.
Responsibilities
- Process weekly and biweekly payroll for the company using Paylocity
- Generate and send payroll summary reports to the Accounting team post-payroll
- Upload payroll summary reports to the designated Teams folder
- Review, approve, and enter employee changes in Paylocity (e.g., pay rates, job titles, cost center changes)
- Maintain and update the payroll notes spreadsheet
- Update benefit deductions as needed in Paylocity
- Enter wage garnishments accurately and distribute copies to affected employees
- File and maintain payroll documents according to company policy
- Perform regular audits of payroll data to ensure accuracy and compliance with internal and legal standards
- Assist with employee benefits including enrollments, changes, and terminations
- Coordinate open enrollment periods and provide employee support as needed
- Track and manage FMLA and other leave of absence requests, ensuring proper documentation and compliance
- Maintain accurate leave balances and update employee records accordingly
- Serve as point of contact for employee questions related to benefits, time off, and payroll
- Other duties as assigned.
Experience
- Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience).
- 3+ years of experience in payroll processing, preferably in a multi-state environment
- Proficiency in Paylocity HRIS system is required.
- Strong understanding of federal, state, and local regulations related to payroll, benefits, and employment laws.
- Exceptional organizational, analytical, and problem-solving skills with a focus on accuracy.
- Ability to handle confidential information with integrity.
- Excellent communication and interpersonal skills, with the ability to handle sensitive information with confidentiality.
Physical Demands/Work Environment:
- Sitting for prolonged periods at a desk while using a computer.
- Typing and using a mouse frequently throughout the workday.
- Occasionally standing and walking within the office to retrieve files or documents.
- Lifting and carrying light office supplies, such as paper or small packages, typically weighing up to 10 pounds.
- Reaching and bending to access file cabinets and shelves.
- Using a telephone for extended periods to communicate.
- Visual acuity to read and interpret documents, emails, and computer screens.
- Hearing ability to understand and respond to customer inquiries and communicate with colleagues.
