Description

Payroll & Expense Administrator
Location: Arlington, VA (On-site)

Position Overview
We’re looking for a detail-driven Payroll & Expense Administrator to keep our employees paid accurately and on time. Reporting to the HR Director, you’ll own the full bi-weekly cycle, including timecards, payroll, and expenses, across multiple states and jurisdictions.

Our employees will count on you to be accurate, discreet, and responsive. If you take pride in getting the numbers right and enjoy solving problems before they become problems, we’d love to hear from you.

Key Responsibilities

Payroll Processing

  • Run full-cycle bi-weekly payroll in a multi-state, multi-jurisdiction environment, from timecard review through final processing and reconciliation.
  • Process off-cycle payments, including final pay, bonuses, and corrections, with accuracy and on tight timelines.
  • Administer garnishments, 401(k) contributions, and benefit deductions, ensuring every change is reflected correctly and on time.
  • Reconcile payroll results and resolve discrepancies before they reach employees.

Employee Support & Process Improvement

  • Serve as the primary point of contact for employee payroll and expense questions, resolving issues promptly and professionally.
  • Identify gaps and inefficiencies in current payroll processes and recommend practical improvements.
  • Help build the documentation, controls, and workflows that will support payroll at scale as the company grows.

Timekeeping & Expenses

  • Oversee bi-weekly timecard collection and review, ensuring accurate labor charging and timely approvals.
  • Process employee expense reports in line with company policy, flagging exceptions and following up on missing documentation.
  • Partner with Finance to ensure payroll and expense data flows cleanly into Deltek Costpoint.

Compliance & Recordkeeping

  • Partner with the HR to ensure compliance with federal, state, and local payroll and wage-and-hour regulations, including multi-state tax requirements.
  • Maintain accurate, audit-ready employee payroll records and supporting documentation.
  • Support internal and external audits by providing clear, well-organized records.

Qualifications

Required

  • Minimum of 3 years of hands-on payroll administration experience, including multi-state payroll.
  • Advanced Microsoft Excel and Office Suite skills.
  • Strong working knowledge of federal, state, and local payroll regulations.
  • Exceptional attention to detail and the ability to manage competing deadlines without sacrificing accuracy.
  • Clear, professional communication skills and the ability to explain pay issues to employees at every level.
  • Sound judgment and complete discretion in handling confidential information.
  • High school diploma or equivalent.

Preferred

  • Bachelor’s degree in Accounting, Business Administration, or a related field.
  • Working proficiency with ADP Workforce Now and Deltek Costpoint.
  • Experience with government contractor timekeeping and labor charging requirements (e.g., DCAA compliance).
  • Defense or manufacturing industry experience.
  • Professional certifications such as CPP or FPC.
