Job Description
The Senior Payroll Specialist is responsible for managing and overseeing accurate, timely, and compliant payroll processing across multiple SEA countries in line with local legislation, statutory requirements, and DayOne’s internal policies. The role plays a key role in ensuring payroll accuracy, strengthening payroll controls, supporting audits, resolving complex payroll matters, and driving continuous improvement across payroll processes.
This role will report to our Payroll Manager based in KL, Malaysia.
Responsibilities
SEA Payroll: Manage and oversee payroll processing across multiple SEA countries, ensuring compliance with country-specific labor laws, social security, tax regulations, and internal policies.
- Prepare and process monthly payroll accurately and within established payroll timelines and cut-off dates.
- Review and validate payroll calculations, payroll inputs, and payroll reports before payroll submission and payment.
- Manage complex payroll transactions including new joiners, leavers, transfers, attendance data, overtime, shift work, leave calculations, salary changes, promotions, increments, bonuses, allowances, deductions, overtime, and other employee movements.
- Perform month-on-month payroll variance analysis and investigate significant or unusual payroll movements.
- Perform payroll reconciliations and ensure discrepancies are identified, investigated, and resolved in a timely manner.
- Act as a senior reviewer within the payroll process and support the implementation and maintenance of Maker-Checker controls.
- Ensure payroll inputs received from HR, Finance, employees, and payroll vendors are complete, accurate, and properly supported by documentation and approvals.
- Ensure compliance with local labor laws, social security, tax regulations, and statutory requirements across assigned SEA countries.
- Prepare, review, and coordinate statutory payroll reports, declarations, payments, and submissions.
- Manage employee benefits administration related to payroll, including health insurance, meal, transportation, bonuses, allowances, and other payroll-related benefits.
- Maintain payroll data accuracy across payroll and HR systems, including Workday and BIPO.
- Support the integration and data flow between Workday and BIPO and perform data reconciliation to identify and resolve discrepancies.
- Support payroll system testing, process enhancements, system changes, and implementation of new payroll requirements.
- Coordinate with local HR teams to ensure payroll movement information, including new joiners, leavers, transfers, salary changes, bonuses, allowances, and other payroll adjustments, is received accurately and within the required cut-off.
- Act as a senior point of contact for complex employee payroll queries and escalations, providing accurate and timely resolution.
- Collaborate closely with HR, Finance, local HR teams, payroll vendors, and other stakeholders to resolve payroll issues and ensure data consistency.
- Support internal and external audits related to payroll processes
- Provide support in union-related processes, including collective bargaining preparations, payroll simulations, and implementation of agreed terms.
- Provide guidance, support, and knowledge sharing to junior payroll team members.
Requirements
- Bachelor’s degree in Business Administration, Finance, Economics, or a related field
- Minimum 5–7 years of experience in payroll and personnel administration, preferably with regional or multi-country payroll exposure.
- Strong knowledge of local labor law, social security, tax regulations, and statutory payroll requirements.
- Experience with payroll and HR systems such as Workday and/or BIPO or similar payroll platforms.
- Advanced MS Excel skills with the ability to analyse large payroll datasets and perform payroll reporting and reconciliations.
- Strong experience in payroll checking, reconciliation, variance analysis, and payroll controls.
- Strong analytical, numerical, and problem-solving skills with a high level of attention to detail.
- Experience in Singapore, Malaysia, Thailand, Indonesia, Japan, Hong Kong payroll is a plus
- Strong understanding of payroll processes, controls, and Maker-Checker principles.
- Ability to independently investigate payroll discrepancies, resolve complex payroll issues, and identify potential payroll risks.
- Strong stakeholder management and communication skills, with the ability to work effectively with HR, Finance, employees, payroll vendors, and senior stakeholders.
- Strong sense of confidentiality, accountability, and responsibility when handling sensitive employee and payroll information.
- Experience mentoring, supporting, or providing guidance to junior payroll team members is an advantage.
