Payroll Specialist
Description
Haga Kommer is one of the fastest-growing CPA firms in the country, providing tax, accounting, and advisory services across Arizona, Colorado, Iowa, Minnesota, and North Dakota.
But we're not a traditional CPA firm.
We've built a people-first culture that values growth, flexibility, innovation, and long-term career success — without the burnout-driven environment common in public accounting.
Our Foundation: Competence · Character · Teamwork · Openness to Change · Be Kind
The Opportunity
We are seeking a motivated, detail-oriented Payroll Specialist to join our team. This is a blended role in a small office, so you'll wear more than one hat: payroll processing and compliance, full-cycle bookkeeping, and the general administrative work that keeps a small office running well.
If you like variety, take ownership of your work, and want to see the whole picture rather than one narrow slice of it, this role will suit you. This position is full time with benefit package and generous paid time off. This position is in-office and not remote eligible.
What You'll Do
- Process payroll accurately and on time — paystubs, paychecks, direct deposits, and deductions for benefits, garnishments, and retirement contributions.
- Maintain payroll records for new hires, terminations, and pay rate changes, and respond to employee and client questions on pay, withholdings, and deductions.
- File and remit federal and state payroll taxes, including 940, 941, W-2, W-3, and state-specific reports, in compliance with federal, state, and local wage and tax law.
- Record and categorize transactions in the general ledger, manage accounts payable and receivable, and keep cash flow on track.
- Reconcile bank, credit card, and payroll accounts monthly, and resolve discrepancies.
- Prepare basic financial statements — balance sheets, income statements, and cash flow reports — and assist with sales tax filings and 1099s.
- Keep digital and physical records organized and audit-ready and pull documentation for audits and compliance reviews.
- Use payroll and accounting software (ACS/Thomson Reuters, QuickBooks Online, or similar) and automate routine data entry to improve efficiency.
- Handle the miscellaneous administrative work of a small office — correspondence, scheduling, filing, mail, supplies, and client-facing support.
- Maintain strict confidentiality of all payroll, client, and employee information, and stay current on payroll and accounting best practices.
What You'll Bring
- Minimum associate degree in Accounting, Finance, Business Administration, or a related field, or equivalent education and experience. Bachelor's degree preferred.
- Minimum two years of payroll and/or bookkeeping experience in a multi-client or fast-paced environment.
- Strong knowledge of federal, state, and local payroll tax regulations and wage and hour laws, including overtime and FLSA.
- Working knowledge of general ledger, accounts payable, accounts receivable, and account reconciliation.
- Strong analytical and problem-solving skills with high attention to detail, and the discretion to handle sensitive information.
- Excellent written and verbal communication skills.
- Advanced computer literacy, including Microsoft Excel and Word, and payroll/accounting software. ACS (Thomson Reuters) or QuickBooks Online preferred; ADP, Paychex, or similar a plus.
- Exceptional organizational and time-management skills, with the ability to work independently and adapt to the flexibility a small office requires.
