Payroll Supervisor

ABOUT THE JOB
The Payroll Supervisor position is responsible for managing and coordinating the payroll function for 11 separate companies with a combined annual payroll of almost $400M and tax submissions for employees living in 45 states and various local municipalities.
This position will also perform critical quarter end and year end processes such as W-2s, 941s, Annual Statements of Deposits and Filings (SODs), 940 Employer's Annual Federal Unemployment (FUTA) Tax Returns and W-2Cs.
WHAT YOUR DAY WILL LOOK LIKE
- Manages all aspects of payroll operations.
- Designs short-term and long-term functional strategies for continuous improvement in payroll operations.
- Oversees payroll processes, procedures, tasks and objectives including taxes and Accounting/Finance department demands regarding payroll payments.
- Ensures all company payrolls and applicable taxes are submitted accurately and timely.
- Verifies state and federal unemployment and income tax percentages.
- Reconciles general ledger accounts pertaining to payroll.
- Works with the IT department on Oracle patch testing and upgrades for the general ledger and updates/changes with ADP.
- Runs all month-end, quarter-end, and year-end reports to reconcile to the general ledger.
- Manages the audit operations for the payroll team including audits by external accounting firms, internal accounting audits and local, state and federal government audits.
- Reviews and approves W-2s.
- Troubleshoots ADP vantage system issues in the payroll, general ledger and time and attendance modules and uses analytical and research skills for problem determination, notification, escalation and resolution.
- Manages other members of the team.
- Provides excellent customer service to all internal and external customers.
- Other work-related duties as assigned by leader.

EDUCATION & EXPERIENCE
- Bachelor's degree in human resources management, accounting, finance or other business related field is required.
- Seven years of extensive multi-state payroll work experience in a highly technical computerized environment is required.
- Five years of leadership experience in a fast paced payroll department is required.
- American Payroll Certification such as FPC or CPP is a plus.
SKILLS & QUALIFICATIONS
- Ability to multi-task, work under pressure and meet strict government mandated deadlines.
- Math skills, enjoys dealing with numbers and has an analytical mind with an aptitude for problem-solving.
- ADP vantage payroll systems experience is highly preferred.
- Detail-oriented with the ability to check your own work and the work of others for accuracy and precision.
- Previous accounting experience including general ledger and journal voucher entries in accounting systems (such as Oracle) is highly preferred.
- Working knowledge of laws and legislation relevant to payroll and accounting such as state by state termination pay (CA, OR, CO, etc.), wage and hour laws, JSOX, FLSA, Social Security thresholds, IRS regulations, etc.
- Computer skills including working knowledge of Microsoft Office are required.
- Time management and organizational skills.
- Experience with time and attendance, human resource information systems and payroll processing systems.
- Ability to analyze, research, escalate and resolve payroll and accounting issues.
- Ability to read, write and speak in English is required.
- Communicating in Spanish is a valuable skill at Helena.
- Valid U.S. driver's license is required and must meet all company requirements to operate a Helena vehicle.

The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand and sit. You may be occasionally required to lift or move up to 10 pounds.
