Are you an experienced pensions professional with a strong background in trustee secretariat, pensions governance, or pension scheme management?
We are looking for a Pensions Secretariat & Governance Executive to support the effective governance of one of the UK's largest occupational pension arrangements. In this varied role, you will provide high-quality secretariat services to the Trustee Board and its committees, ensuring governance processes run efficiently and in line with regulatory requirements.
Working closely with Trustees, senior stakeholders, investment advisers and external partners, you will coordinate committee activities, support governance projects, contribute to ESG initiatives, and help deliver the Trustee's long-term strategic objectives.

Job Purpose
As Trustee Secretariat & Pensions Governance Executive, you will provide comprehensive trustee secretariat and governance support to the Trustee Board and its committees.
You will be responsible for coordinating committee meetings, preparing governance documentation, maintaining governance records, monitoring actions, and ensuring governance processes are delivered efficiently and in accordance with legal and regulatory requirements.
Alongside your core trustee secretariat responsibilities, you will support governance improvement initiatives, ESG activities, risk management processes and strategic projects that contribute to the continued success of the pension scheme.
Key Responsibilities
Trustee Secretariat & Governance
- Act as secretary to the Trustee's Environmental, Social and Governance Committee (ESGC).
- Coordinate committee meetings, including scheduling meetings, preparing agendas and meeting packs, producing minutes and maintaining action logs.
- Support governance activities across Trustee committees, including investment and funding committees.
- Ensure governance documentation is accurate, complete and maintained in line with governance requirements.
- Monitor progress of committee actions and follow up with relevant stakeholders.
- Ensure governance activities comply with pension legislation, Trustee policies and regulatory requirements.
- Build and maintain strong working relationships with Trustees, advisers, suppliers and internal stakeholders.
Governance Projects & Continuous Improvement
- Support the delivery of governance projects and initiatives aligned to the Trustee's strategic objectives.
- Identify opportunities to improve governance processes and administrative efficiency, including the use of AI and automation.
- Support the ongoing development of governance policies, procedures and documentation.
- Assist in monitoring adviser and supplier performance, budgets and service delivery.
ESG & Risk Management
- Coordinate ESG-related governance activities and stewardship initiatives.
- Support the delivery of the Trustee's ESG strategy and sustainability objectives.
- Coordinate the preparation of Climate (TCFD) and Stewardship Code reports in partnership with external advisers.
- Maintain ESG-related risk registers and support governance reporting.
- Contribute to broader risk management activities across the pension scheme.
Your Profile
- Bachelor's degree or equivalent professional experience within pensions.
- Minimum 4 years' experience in trustee secretariat, pensions governance, pension scheme management or a similar pensions environment.
- Strong understanding of UK occupational pension schemes and governance frameworks.
- Experience supporting Trustee Boards and formal committee structures.
- Experience preparing committee agendas, meeting papers, minutes and governance documentation.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- Strong stakeholder management and communication skills, with confidence working with senior stakeholders and external advisers.
- High level of accuracy and attention to detail.
- Proactive, collaborative and solutions-focused approach.
- Knowledge of ESG, stewardship and sustainability within occupational pension schemes.
